Summary The employee is a secretary performing a variety of clerical and administrative duties for the Associate Director, Patient Care Services (ADPCS) located at the Mather, CA. The employee will provide assistance to Services under the ADPCS's purview. This position is the principal assistant to the ADPCS and operates independently of any other such position in the office. T Position aligns under Nursing, Operations. Responsibilities Major duties include, but are not limited to the following: Performs a variety of administrative support duties: Such as making extensive travel arrangements. making complete arrangements for large conferences, composing complex but non-technical correspondence. and researching and providing all background information and data, locating, and assembling information for various reports. briefings, conferences. etc.. following up with staff members to ensure that various commitments made at conferences and meetings are met. Designing and organizing filing for the ADPCS. planning. and arranging the maintenance and preparation of information needed for reports and organizing the flow of clerical processes in the office. This includes tracking internal correspondence. files, and reports. Coordinates visits of VIP and Officials ensuring that no breach of etiquette or protocol develops. Includes, when required. arrangements for hotel, motel, or reservations as well as the coordination of incidental surface transportation. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Typing Requirement: In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. Typing requirement of 40 words per minute typing speed -Words per minute are based on a 5 minute sample with three or fewer errors You may qualify based on your experience as described below: GS-07: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: A basic foundation of administrative concepts. principles, and practices sufficient to perform independently such duties as eliminating conflict and duplication in extensive office procedures: determining when new procedures are needed systematically studying and evaluating new office machines and recommending acceptance or rejection of their use studying the clerical activities of the office and subordinate offices and recommending a specific restructuring of the way activities are carried out. (This experience must be well documented in your resume.) . GS-08: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of the organizational functions and procedures of the work unit to perform such duties as distribute and control mail, refer phone calls and visitors, and provide general, non-technical information. Knowledge of correspondence requirements to check for proper grammar. spelling and punctuation, and to review documents for conformance with formats and procedural requirements. (This experience must be well documented in your resume.) . You will be rated on the following Competencies for this position: Attention to Detail Creative Thinking Customer Service Oral Communication Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is normally sedentary. but includes some walking, standing. bending. and carrying of' light items such as papers and books.
