*POSITION TITLE:         * File Maintenance Clerk (Full-time with benefits)              

DEPARTMENT OR BRANCH LOCATION:        Mansfield Operations Center

JOB RESPONSIBILITIES:

  • Manage the file process by creating, checking the file in, maintaining, reviewing, reporting, providing, and closing files with proper documentation in accordance with the policies set forth by the bank and outstanding items documented on the Incomplete Report.
  • Maintain files by contacting appropriate lawyers, courthouse personnel or loan officers and otherwise collecting mortgages, title insurance policies and other mortgage documents, contacting customers and otherwise collecting titles for vehicles, mobile and motor homes, et cetera in accordance with Bank policy and procedure, established regulations and in an accurate, timely, courteous, and professional manner.
  • Perform imaging of loan documentation by scanning loan documents in order of loan checklists and updating incomplete loans by scanning missing, changed, or replaced documents as they are received in an accurate and timely manner.
  • Manage insurance information by organizing and filing insurance policies and sending policies to our third-party provider, researching insurance information to verify correct insurance type, amount, mortgagee loss/payee interest, insurance policy is current, and policy is available, procuring correct and current insurance information for loan files.
  • Perform a variety of administrative and support duties by assisting coworkers, distributing reports, tickets and statements, processing loan payoff inquiries, etc. in an accurate and timely manner.
  • Constructively interact with co-workers.

*JOB SKILLS AND QUALIFICATIONS REQUIRED: *

  • Strong organizational, time management, problem prevention and problem-solving skills.
  • Ability to convey detailed information and instructions clearly.
  • Ability to proficiently use a personal computer and applicable job-related software, including Word and Excel.
  • Ability to handle sensitive and confidential information with discretion.
  • Highly developed interpersonal skills.
  • Professional attitude and appearance.
  • Good customer relations and telephone skills.
  • High school diploma or equivalent educational experience. (preferred)
  • Six-plus months of job-related experience. (preferred)

*HOURS *will average approximately 40 hours per week. This position is budgeted for 2,080 hours per year.
