Position Summary: **This is a temporary position, the Fiscal Assistant will join our Fiscal Unit under the Adoption and Foster Care program within the Child Welfare & Family Services Division and report to the Fiscal Manager. This position will focus on processing vendor payments, invoice tracking, ensure data reliability and troubleshoot problems related to payment processing. Individual will need to network with vendors, staff, Accounts Payable Department and other programs within the Division. This position also requires adaptability to learn software systems, (i.e. Workplace, Orbit, Cara, Evolv and Connections).

Schedule: Monday – Friday, 35 hours. This position is expected to be working in-person, at the office of Children’s Aid Headquarters.

Location: 117 West 124th Street, 4th Floor, New York, NY 10027 (Harlem, NY)

*Salary Range: *$20 - $22

Essential Duties:

  • Understand and promote the organization’s Mission, Vision, and Core Values to ensure alignment with organizational policies and procedures.

  • Oversee the processing of payments for various vendors through Fiscal/Accounts Payable and the tracking system.

  • Work collectively with vendors, staff and resolve account issues.

  • Serve as point person for staff car reservations, furniture and clothing requests for clients and children’s summer camps activities, in addition to processing payments for these vendors.

  • Coordinate with workers and vendors on other ACS Special Payment items for reimbursements.

  • Supportive role to claims specialist in tracking expenses and providing backup for ACS reimbursements.

  • Collaborate and assist co-workers during their absence when needed.

  • Assist Fiscal Manager and Director on special projects and reports, if required.

  • Perform other duties as assigned.

Minimum Qualifications: **

  • Associate degree preferred**or equivalent of two years’ experience in financial processing within an office setting.

  • Strong interpersonal skills, verbal and written communication skills.

  • Analytical skills, detail oriented and flexible.

  • Proficient with Microsoft Office programs (i.e. Word, Excel and Outlook).

  • Well organized, efficient in time management and a team player.
