And more! About the role The Portfolio Operations Director, Military Housing is responsible for providing high-level operational and administrative support to the executive team. The ideal candidate will demonstrate exceptional communication skills, the ability to multitask, and a high level of discretion and professionalism. This role is vital to the company's success by ensuring the executive team operates efficiently and effectively. Key responsibilities include managing schedules, coordinating meetings and events, arranging travel, overseeing storage and file inventory, preparing expense reports, handling data calls, creating PowerPoint presentations, documenting meeting minutes, strategizing solutions and more. The Director collaborates closely with senior leadership, regional management, and on-site teams to develop strategies aimed at improving resident satisfaction, optimizing operational performance, and ensuring the long-term success of the portfolio. We are seeking a detail-oriented, highly organized, and proactive individual who can drive results and contribute to the overall success of the organization. What you'll be doing Provide high-level administrative support to the SVP, Military Operations and SVP, Facilities Management, including managing calendars, scheduling meetings, and coordinating travel arrangements. Handle correspondence as requested, including emails and phone calls, ensuring timely and appropriate responses. Organize and prepare for meetings, including drafting agendas, taking minutes, preparing presentations, and following up on action items. Monitor and track KPIs - assist the team in tracking and reporting on portfolio performance by monitoring KPIs related to operational compliance. Prepare and edits reports, presentations, and other documents as needed. Assist in the management and coordination of special projects and initiatives assigned by the executive team. Prepare and manage expense reports, ensuring accuracy and timely submission. Manage storage and file inventory, maintaining an organized and efficient digital filing system to include labeling and document imaging. Maintain a high level of confidentiality and discretion in handling sensitive information. Plan and coordinate events, meetings, and conferences and assist with other department activities as directed. Build and maintain positive relationships with internal and external stakeholders. Anticipate and proactively address the needs of the executive team, resolving issues efficiently. Manage organizational changes, distribution lists, and contact lists. Manage the administrative coordination of the Bravo Rewards Program And other duties as assigned Typical Physical Demands: Regularly uses hands to manipulate phones, computer keyboard and similar tools. Ability to view computer screens, mobile devices, and other electronic equipment, for extended periods of time. Sit and stand to perform administrati e work. Regularly lift and move office supplies up to 20 lbs. Who we're looking for Experience supporting C-level executives, Familiarity with military operations and terminology, Knowledge of project management tools and software, Experience in coordination within a military or defense context. Bachelor's degree in business administration, Management, or a related field preferred. Possession of a valid, state-issued driver's license and safe driving record is also required. Minimum of 5 years of experience in an administrative or executive support role, preferably in a military or defense setting. Excellent written and verbal communication skills. Strong organizational and time-management abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Smartsheet, DocuSign, Outlook) Ability to manage multiple tasks, focus and prioritize effectively. High level of professionalism and attention to detail maintaining complete and accurate records. Strong problem-solving skills and the ability to work independently. Ability to take initiative and follow-through on requests until completion. Discretion and confidentiality in handling sensitive information, high integrity supporting the company and its values Ability to anticipate executive management needs, listen attentively and be empathetic. Demonstrates a strong customer service philosophy and team-oriented approach. Ability to build and foster relationships.
