Manulife Administrative Assistant in Makati City, Philippines

General Accountability:

The role of an Office Administrator involves overseeing the day-to-day operations of the office, replying to email inquiries and composing correspondence, filing, arranging meetings and appointments, and arranging travel and accommodation for other staff members. Office Administrator should be organized, proficient with all MS Office applications, work well under pressure and possess a proven track record to set priorities, handle multiple tasks efficiently, and meet deadlines.

Position Responsibilities:

  • First point of contact for guests, vendor personnel, delivery personnel and visiting Manulife employees at the Manulife IT Delivery Center office.

  • Receiving, sorting and distributing mail/deliveries.

  • Ordering office supplies, toiletries, and other consumables and keep inventory of stock.

  • Managing conference room usage and booking.

  • Ensures all AV equipment are accounted for and directs maintenance personnel to perform post-meeting clean-up of each meeting/conference room.

  • Coordinating with other Business Partners (teams, partners, external vendors, etc.)

  • Coordinate onsite / offsite meetings, assist with segment events (town halls, engagement activities, conferences – both virtually and in person)

  • Process expense reports and invoices Maintain internal databases:

  • contact and distribution lists

  • shared mailboxes

  • Produce and circulate reports/presentations, letters, graphics, and other documents and handle routine correspondence and reporting as needed, extracting data for reports Maintain third party vendor and database contracts, liaise with vendors to correct technical error

  • Update and maintain internal/external communication groups with relevant content on internal/external platforms

  • Help with the physical inventory of hardware assets and serve as a liaison between Office Management Team, IT Support, and Finance for the maintenance of reported hardware asset records.

  • Perform miscellaneous and ad-hoc tasks as assigned with strong sense of responsibility and ownership and communication, coverage for peers as needed

  • Online filing systems and repositories for assigned departments, including confidential data and ensuring records are accurate and up to date

Required Qualifications:

  • Bachelor’s degree required

  • 1-3 years of experience as an Administrative Assistant

  • Technical proficiency with Microsoft Office apps (esp. Teams, Word, Excel, SharePoint, PPT) and eagerness to learn new programs

  • Ability to analyze and revise operating practices to improve efficiency

  • Detail oriented and comfortable working in a fast-paced office environment

  • Excellent organizational, verbal, and written communication skills

  • Superior organization skills and dedication to completing projects in a timely manner

  • The ability to multitask and handle opposing priorities and deadlines

  • Proven track record of providing support within a large scale, fast-moving global environment

  • Prioritizes the importance of keeping partners organized

  • Excels with repetitive and ad hoc tasks, comfortable with flexibility

  • Highly reliable and trustworthy individual with high levels of integrity and discretion in handling confidential information; professionalism
