Work involves disseminating information, maintaining filing systems, and performing internal administrative support work. May train others. Work under general supervision, with moderate latitude for the use of initiative and independent judgment. Prepare and disseminate information concerning division programs and procedures. 2. Prepare and distribute correspondence, reports, studies, forms, and documents. 3. Maintain filing and record-keeping systems. 4. Perform general office duties such as ordering supplies, performing basic bookkeeping work, and assisting with general human resources work. 5. Respond to inquiries and interprets rules, regulations, policies, and procedures. 6. Plan meetings, conferences, and seminars. 7. Participate in the planning and execution of an agency program. 8. Compile and enter data for charts, graphs, databases, summaries, or reports. 9. Assist in the development of administrative or technical assistance policies and procedures. 10. Answer phone calls, routes incoming calls, takes messages, greets visitors, and directs visitors to the appropriatestaff. 11. Review and edit reports to ensure compliance with rules and regulations. 12. May research, compose, design, or edit division publications such as brochures, forms, and manuals or presentations. 13. May develop training materials. 14. Manages and maintains schedules and travel arrangements for supervisors/managers. 15. May train others. 16. May serve as notary public. 17. May research databases to assist agents in the identification of suspects. 18. May assist with case preparation for prosecution phase. 19. Attend work regularly and observe approved work hours in accordance with agency leave and attendance policies. 20. Perform other duties as assigned. Qualifications: GENERAL QUALIFICATIONS and REQUIREMENTS: Education Graduation from a standard senior-high school or equivalent is required. Graduation from an accredited four-year college or university with a major in Liberal Arts, Business or Public Administration, Social Science, or a related field is preferred. Experience Minimum of two (2) years progressively responsible work experience performing clerical/secretarial work in an environment involving concentrated use of personal computers using word processing software is required. Work experience in a criminal law enforcement work environment is preferred. Substitution Note: Education of the type describe may be substituted for the experience requirement on a year-for-year basis up to a maximum of one (1) year. Note: thirty (30) semester hours is considered equivalent to one year ofeducation. Licensure and/or Certification Must possess a valid driver license from state of residence. Regulatory knowledge Working knowledge of, or the ability to rapidly assimilate information related to TXDPS, State and Federal regulations, legislation, guidelines, policies and procedures. Knowledge (or ability to acquire such knowledge in a timely manner) of Department functions, responsibilities, and organizational structure; of office practices and administrative procedures. Interpersonal Skills Must demonstrate an ability to exercise poise, tact, diplomacy and an ability to establish andmaintain positive, working/professional relationships with internal/external customers. Organizational and Prioritization Skills Must be organized, flexible, and able to effectively prioritize in a multi-demand and constantly changing environment; able to meet multiple and sometimes conflicting deadlines without sacrificing accuracy, timeliness or professionalism. Presentation/Communication Skills Must be able to construct and deliver clear, concise, and professional presentations to a variety of audiences and/or individuals. Research and Comprehension Must demonstrate ability to quickly and efficiently access relevant information, and be able to utilize and/or present research and conclusions in a clear and concise manner. Analytical Reasoning/Attention to Detail Must demonstrate an ability to examine data/information, discern variations/ similarities, and be able identify trends, relationships and causal factors, as well as grasp issues, draw accurate conclusions, and solve problems. Knowledge of required format, style, and standards for correspondence, reports, forms,memoranda, etc. Technology (computers/hardware/software/operating systems) Must possess appropriate levels of proficiency with utilized software and systems and be able to learn new software/systems. Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Confidentiality and Protected Information Must demonstrate an ability to responsibly handle sensitive and confidential information and situations, and adhere to applicable laws/statutes/policies related to access, maintenance and dissemination of information. Schedule and/or Remote/Telecommuting work and/or Travel Availability for after-hours and weekend work is required. Telecommute up to (2) days a week.
