We are actively seeking an Administrative Support Assistant to join a stable healthcare team. The ideal candidate would have previous experience in Admin Support roles, excellent communication skills, proficient in excel, detail oriented, excellent organizational skills, and experience in multi-line phone systems. Responsibilities
Answers and directs calls in a professional and courteous manner. Greet visitors/vendors and follows proper protocol.
Prepares daily, weekly or monthly reports as required including Daily Deposit, Lag
Time and Coding QA Reports.
Retrieval and distribution of monthly carrier bulletins.
Start up packages
Ordering of all departmental office supplies.
Maintains vendor list, copier/printer list, evacuation list and
Management/Administration contact information.
Perform initial assessment of building maintenance issues, including janitorial, heating and air systems, plumbing, roof leaks, restrooms and break room equipment.
Report any problems to Facilities Manager, and schedule maintenance/service as directed.
Manage the maintenance of Billing Center building and all equipment including making minor repairs, scheduling repair services, meter readings, and replacing toner in copiers.
Daily retrieval of mail.
Weekly sorting, matching and mailing refund checks.
Uploads Accounts Payable invoices to Catalyst System.
Coordinate and administer Employee of the Month program and birthdays/anniversaries.
Prepare UPS/FedEx shipping labels and packages as requested and ordering USPS and FedEx supplies.
New Hire Orientation / Badges / Keyscan
Maintaining dock area and deliveries.
Maintains conference room schedules and coordinates with Administrative Assistants as necessary.
Performs general clerical duties such as filing, copying, faxing, and scanning.
