Job Summary and Qualifications

The Scheduler will provide technical support in the development of term schedules and in the maintenance of campus term schedules, calendars, and room grids.

Position Responsibilities

  • Assumes responsibility for the entry and maintenance of all campus schedules:

  • Enter schedules into the student information system in conformity with the college calendar of terms/holidays

  • Balance the time of all classes to conform to the stated curriculum

  • Audit the electronic schedule. Provide and direct the necessary maintenance of the schedule based on adjustments requested by the campus leadership.

  • Publish preliminary schedules for review and approval of campus leadership and modify the schedule as necessary based on their feedback.

  • Publish the final schedule for academic leadership, faculty, and staff.

  • Update Calendars used for room reservations/room grids.

  • Modify schedule as term progresses for cancelations, instructor changes, etc.

  • Load and maintain workload information on individual course-sections to provide the base information for adjunct contracts and the overview of all workload that is tied to the schedule.

  • Stay current with curricular changes to assure inclusion into the student schedules at the time determined for introduction of new courses by the Curriculum Department

  • Maintain & update the system specific rules and procedures as required for the operation of the class scheduling process.

  • Act as a system gatekeeper with regard to seeing that new faculty are set-up, providing access to classes, closing unused classes, removing classes from view. See that schedules are “rolled” to new terms and adjusted as needed.

  • Maintain up-to-date knowledge of the student Information system and other related systems.

  • Other duties as assigned.

Position Requirements

  • Education: GED/High school diploma required. Associates degree in a business-related field preferred.

  • Experience: Three (3) years’ experience in college or academic setting preferred.

  • Knowledge base: Knowledge or willingness to learn current systems. Specific knowledge of Colleague preferred. Knowledge or willingness to learn current college catalog, policies, procedures.

  • Skills: Communicate orally with co-workers, customers, clients, or the public in a face-to-face, one-to-one setting or using a telephone. Work cooperatively with other employees, various levels of management, and students. Detailed oriented. Excellent verbal and written communication skills. Computer proficiency in Microsoft Word, Excel and Outlook. Ability to work under pressure and complete tasks by deadline dates. Ability to work in a fast pace environment. Ability to speak in front of small groups.

  • Physical Requirements: Ability to walk, stand, and sit for long periods of time. Ability to speak concisely and effectively to communicate needs. Ability to operate a personal computer and other office equipment. Normal motor skills and eye-hand coordination.
