University of Louisville Department Coordinator III- Health Science Campus Office of Community Engagement in Louisville, Kentucky

Minimum Requirements:High School Diploma/GED with four (4) yrs of related experience or an equivalent combination of education and experience. Grade 3 (Hourly)Position Description:The Department Coordinator III in the Health Science Campus Office of Community Engagement will provide day-to-day administrative support for the Office of Community Engagement. Duties include effective coordination of federal and state grant project activities and initiatives (including, but not limited to Medical Student Education Training Program (MSETP) and Area Health Education Centers (AHEC), including, but not limited to, maintaining the operation of the grant project office; working with faculty, staff, students, and internal and external stakeholders and agencies; and coordinating and executing administrative and financial duties associated with the grant projects; providing additional administrative support to related community engagement initiatives.Essential Duties and Responsibilities Assist OCED Vice Dean.Compile data and assist in the preparation of reports, data entry, and communication with granting agency/agencies.Fulfill financial duties, including but not limited to, processing payments and reimbursements, arranging travel, preparing invoices, making purchases, managing tuition and student support payments.Manage office and facility’s needs, including but not limited to coordinating and scheduling meetings and events, managing workspaces, maintaining office supplies and equipment, assisting with the development of recruitment materials, and facilitating correspondence.Maintain documents and files.Other duties as assigned.Preferred QualificationsProfessional experience in a highly matrixed office with multiple stakeholders.Experience working in a higher education or government environment.Previous administrative support experience.Competencies Effective oral, written, and interpersonal communication skills.Customer Service Excellence - responsive, pleasant to work with, provision of timely and accurate information.Organization - time management efficiency, ability to prioritize.Critical Thinking - proactive, ability to think through issues and identify options.Analytical - evaluate data and information with the ability to choose the best solutions and make recommendations.Flexibility - Nimbleness and ability to change direction as needed for the good of the project.Positive Work Ethic - motivation, diligence, efficiency, self-direction.Interpersonal - able to build strong, effective working relationships, able to work with others in order to move processes forward to the desired outcome.Target Compensation Maximum:$27.85Target Compensation Minimum:$18.56Compensation will be commensurate to candidate experience.Equal Employment OpportunityThe University of Louisville is an equal opportunity, affirmative action employer, and is committed to providing employment opportunities to all qualified applicants without regard to race, sex, age, color, national origin, ethnicity, creed, religion, disability, genetic information, sexual orientation, gender, gender identity and expression, marital status, pregnancy, or veteran status.
