Description
We are offering a short term contract employment opportunity for an Administrative Assistant in Louisville, Kentucky. This role primarily involves ensuring the smooth operation of an office by fulfilling administrative tasks, purchasing items, and maintaining accurate procurement records.
Responsibilities:
• Accurately process purchasing orders and ensure they are sent to the right vendors
• Maintain an organized record of all procurement activities, including items purchased, costs, delivery, product quality, and inventories
• Handle inbound and outbound calls, providing customer service as needed
• Manage customer data entry and email correspondence efficiently
• Track all materials to guarantee delivery dates are met
• Expedite the delivery of goods to users as required
• Use Microsoft Excel, Outlook, PowerPoint, and Word to accomplish tasks and manage schedules
• Assist with physical inventory checks and reconcile discrepancies
• Resolve any differences between purchase orders and invoices with suppliers
• Order office supplies as necessary, ensuring the office always has what it needs
• Provide routine administrative support to all team members.
Requirements • Proficiency in answering inbound calls, demonstrating excellent communication and problem-solving skills.
• Extensive experience in customer service, with the ability to handle client queries with detail orientation and courtesy.
• Demonstrable skills in data entry, ensuring accuracy and attention to detail.
• Competence in handling email correspondence, ensuring prompt and detail oriented responses to all communications.
• Experience in both inbound and outbound calls, maintaining the highest level of service at all times.
• Proficiency in Microsoft Excel, including creating spreadsheets, using formulas and generating reports.
• Familiarity with Microsoft Outlook, particularly in scheduling appointments and managing calendars.
• Proficiency in Microsoft PowerPoint, with the ability to create and edit presentations.
• Competence in using Microsoft Word for document creation, editing, and formatting.
