Robert Half Administrative Assistant in Los Angeles, California

Description We are offering a contract to permanent employment opportunity for an Administrative Assistant in Downtown Los Angeles, California. The role is within an international labor union local chapter and primarily involves handling a high volume of calls and providing administrative support.

Responsibilities:

• Manage a high volume of inbound and outbound calls, and correctly direct them as required. • Greet and assist incoming visitors, providing excellent customer service. • Provide administrative support as needed, ensuring efficient operation of the office. • Assist with clerical duties, including filing, answering phone calls, responding to emails, and preparing documents. • Maintain strong client relationships through regular communication and excellent customer service. • Handle receptionist duties, displaying strong communication and interpersonal skills. • Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings, etc.). • Participate in team meetings and provide input to improve customer service and office efficiency. • Use a variety of software tools to manage and compile data effectively. Requirements • Minimum of 3 years of experience in an Administrative Assistant role or similar administrative position

• Proficient in Microsoft Office Suite including Word, Excel, and PowerPoint

• Exceptional organizational skills and ability to prioritize tasks effectively

• Experience with receptionist duties such as answering phones, scheduling appointments, and greeting visitors

• Excellent verbal and written communication skills

• Ability to work independently and as part of a team

• High attention to detail and accuracy in all tasks

• Proactive problem-solving skills and ability to take initiative

• Experience managing office supplies and equipment

• Ability to handle confidential information with discretion

• High school diploma or equivalent required, further education or certifications in Business Administration are a plus.
