Los Alamos National Laboratory Administrative Assistant 3 in Los Alamos, New Mexico

What You Will Do

The Environmental Stewardship group (EPC-ES) is seeking a motivated, energetic, customer-focused individual to provide business and high-level administrative support to our dynamic group. You must be an excellent problem-solver, able to anticipate challenges and obstacles and tactfully resolve them while providing advanced professional administrative support to personnel across the group. You should be able to work independently with minimal supervision, establish and balance priorities, be capable of handling personnel and sensitive matters with tact and discretion, and effectively communicate with all levels of staff.

The selected individual must have a willingness to provide support not only to their assigned group but where they are needed within the division. Job duties include, but are not limited to, managing calendars, correspondence, documents, and signature items for group leadership; executing complex administrative functions and activities; arranging travel and coordinating reimbursements; serving as timekeeper, Designated Procurement Representative (DPR) and P-Card holder.

This position is on-site in White Rock, Los Alamos County, New Mexico.

What You Need

Minimum Job Requirements:

Administrative Support

  • Experience in providing high-level administrative support in a busy office environment requiring complex calendar management, domestic and foreign travel, procurement, meeting scheduling/logistics, visitor processing, accurate data entry and tracking, and time keeping.

  • Experience with solving problems, developing, and implementing solutions, and innovating business practices to ensure customer satisfaction at all levels.

  • Demonstrated ability completing action items and tracking them to closure.

  • Proven ability to build effective working relationships and networks.

Organization and Time Management

  • Experience organizing, prioritizing, managing, and following through to completion on multiple assigned tasks in a demanding and fluid work environment.

  • Demonstrated record of dependability, availability, attendance, and punctuality.

  • Demonstrated experience making decisions and resolving complex problems both independently and as a team member using judgement and creativity to determine the approach or action to take in non-routine situations.

Business Systems

  • Demonstrated knowledge and experience with teleconference applications and the Microsoft Office Suite (particularly with Outlook, Excel, PowerPoint, and Word).

  • Ability to independently interpret data and information.

Communication

  • Excellent interpersonal, verbal and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations.

  • Experience with proofreading, grammar, spelling, punctuation with a high level of accuracy and attention to detail.

  • Excellent customer service skills.

Personal Leadership

  • Demonstrated ability to calmly manage interruptions and changing priorities; to complete assignments with or without established procedures; and be available and dependable.

  • Utilization of tact, diplomacy, and discretion in dealing with sensitive and confidential information.

  • Taking the initiative to learn, find solution and offer proactive support.

Education/Experience: Position requires a High School Diploma and 3 years related experience; or an equivalent combination of education and experience directly related to the occupation.

Desired Qualifications:

  • Experience in the use of LANL administrative systems such as Oracle, Concur, Ariba or CMS iExpenses.

  • Designated Procurement Representative (DPR) experience including willingness and ability to obtain and use a purchase card for the group.

  • Advanced knowledge of the Laboratory's organizations and administrative policies and procedures.

  • Advanced level of education, preferably a Bachelor's Degree.

Work Location: The work location for this position is onsite and located in White Rock, NM. All work locations are at the discretion of management.

Position Commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

No Clearance: Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
