Job Title: Financial Processing Assistant
Qualifications: High School Diploma or GED; computer and typing skills; Organizational skills, submitting to and passing successfully a criminal record check and a drug screening test.
Hours: Monday through Friday 8:00 am until 4:30 pm. Evening and weekend hours may be required.
This position reports directly to the Director of Recovery Services.
Summary of Job Duties : This position requires the employee to provide administrative support to the residential facility regarding the financial and/or insurance status of all residents of the facility. This person is responsible for confirming insurance status, ensuring preauthorization is completed with each individual, completing service registers and ensuring that clinical staff are informed of dates for continued stay authorizations are due. This person is responsible for making sure individuals are treated in a helpful and professional manner, and that appropriate information is forwarded to the main office per agency policy.
Essential Duties and Responsibilities : (Specific tasks may be assigned by the Director)
Complete the Financial Screening and Eligibility Form, the Financial Information Form and Service Fee Agreement.
Ensure that all clients admitted to the facility have a payor source.
Assist clients without insurance in the application for coverage through Medicaid or other available payor sources including but not limited to payment through UNITE vouchers.
Application for additional resources including but not limited to SNAP benefits.
Meet with SNAP representative quarterly to verify benefits.
Ensures the accuracy, content and completeness of all client files.
Review all billing documents for accuracy and completeness.
Billings for the 1st through 15th of each month shall be submitted to the Patient Accounts Coordinator no later than the 20th (twentieth) of each month.
Billings for the 16th through the final day of each month shall be submitted to the Patient Accounts Coordinator no later than the 5th (fifth) of each month.
Responsible for always maintaining client confidentiality.
Maintain knowledge of the Billing Manual Procedures and changes made throughout the year.
Maintain knowledge of specific vendor requirements for billing, such as Medicaid, Medicare, Insurance, and Contracts.
Provide appropriate information to consumers and staff without breeching confidentiality in a courteous manner.
Respond to emergency situations in a timely manner.
Demonstrate the ability to work effectively with other team members, as part of a multidisciplinary team, and independently, when necessary.
Answer the telephone in a polite, helpful manner and transfer to appropriate staff members as indicated.
Instruct all new admissions of the necessary documentation to be brought to the first appointment.
Greet consumers in a friendly helpful manner.
Process billing documents by ensuring completion of all required fields on the Service Register and ensuring that note is entered in the medical record.
Logging all billing documents on patient registers and forwarding all billing documents to the main office as required.
Process cash payments per agency policy.
Verify Medicaid/Insurance coverage per agency policy.
Other duties as assigned.

While performing the duties of this job, the employee occasionally works in outside weather conditions, may be off-site from normal office location or placed at a Residential Program.

Environmental Data and Job Hazards:
Hours of work are structured 7.5 hour blocks of time but may be subject to irregular and/or flexible hours based on needs or demands
Position may require duties to include routine or reasonable anticipated tasks or procedures where there is a degree of actual or potential exposure to blood or other infectious materials.
All staff are required to participate in yearly training courses regarding infection control and safety in the environment including hazardous waste and blood borne pathogens.
All new staff must receive training regarding handling physical, verbal threats, acts of violence or other escalating and potentially dangerous situations including when police need to be summoned.
All staff must be certified in Cardiopulmonary Resuscitation within one month of employment and maintain the certification.
