POSITION PURPOSE

This role promotes healthcare operational best practices and optimizes healthcare workforce management systems. The colleague will utilize healthcare operational expertise in scheduling and staffing to support Health Ministry performance objectives. Provide advanced technical and analytical coaching and assistance to Trinity Health Ministry colleagues and leadership on staffing and scheduling best practices. Additional responsibilities include: maintenance, optimization, and training on workforce systems including UKG Dimensions (formerly known as Kronos); building advanced analytical tools and variance analyses to help Ministry leaders achieve performance objectives; and, utilizing benchmarking tools to support continuous performance improvement across the organization. This role serves as a highly visible operational partner alongside other clinical, financial, human resources, and other key Trinity Health functional area leadership teams.

ESSENTIAL FUNCTIONS

  5. Develop recommendations for operational workflow and process improvement and implement solutions in collaboration with Ministry leadership.

  6. Demonstrate ability to be a positive, motivational change agent to facilitate effective adoption of new workforce management tools by clinical and non-clinical front-line managers. Maintain effective relationships with managers and executives.

  7. Serve as a both a conceptual subject matter expert on workforce management standards and technical subject matter expert on the UKG Dimensions systems and other workforce or financial systems.

  8. Educate, train, and consult with clinical and non-clinical front-line managers empowering them to:

a. Efficiently build effective department schedules using the full functionality of UKG Dimensions Advanced Scheduling capabilities

b. optimize staffing to workload demand by hour of day and day of week based on historical data and forecasted workload, including for large, complex 24/7 operations departments

c. create staffing grids/models, budgets, forecasts, and variance analyses

d. interpret key workforce management, financial, and UKG Dimensions reports

  1. Develop comprehensive (both conceptual and technical content) training/education materials.

  2. Lead large group, small group, and individual training sessions. Lead and train other workforce management staff and other colleagues to train large group, small group, and individual training sessions (i.e. “train the trainer”)

  3. Lead and support implementations of cost management initiatives

  4. As assigned, manage operations, enhancements, and day-to-day functionality of the UKG Dimensions (formerly known as Kronos) suite of products, including, but not limited to: Workforce Advanced Scheduler, Healthcare Productivity Analytics, and Healthcare Extensions (real-time acuity-based inpatient clinical staffing tool; formerly known as Optilink), and UKG Data Hub and other business intelligence applications.

  5. Ensure integrity and timeliness of reporting from workforce and financial systems.

  6. Support and optimize performance of contract labor management systems.

  7. Ensure high quality customer service is delivered to Trinity Health Regional Health Ministry colleagues related to workforce management systems.

  8. Build and implement labor expense budgets, forecasts, and staffing models in collaboration with clinical, finance, and operations leadership.

  9. Build and implement staffing models for clinical and non-clinical departments based on Trinity Health standards.

  10. Prepare operational and financial analyses to determine the performance and profitability of business units.

  11. Develop, document, and train colleagues to comply with Trinity Health workforce management standards using industry best practice resources such as benchmarking databases and professional association guidance (including, but not limited to, standards that dictate where and how labor hours are tracked, payroll policies, time and attendance policies, etc.)

  12. Support clinical and non-clinical department managers’ achievement of staffing standards set by Senior Leadership (such as worked hours per unit of service targets, total paid FTE targets, overtime percentages, contract labor utilization, nurse-to-patient staffing ratios, etc.)

  13. Lead projects including developing and managing to a project plan. Ensure timely completion of deliverables. Participate in business workflow mapping, impact analyses and modeling. Prepare status reports or communication plans and keeps management and key stakeholders apprised. Resolve problems that arise and address risk factors to ensure project deliverable timelines are met.

  14. Research and compile detailed information from multiple sources; prepare materials which may include the development of new policies, processes, and opportunities; present effectively in person or via web conference.

MINIMUM QUALIFICATIONS

  1. Experienced in 24/7 operations and the impact of staffing on patient care, including the ability to take patient acuity and workload into account in real-time

  2. Able to collaborate effectively with clinical and other leaders on their responsibilities and requirements

  3. Prepared to maintain and enhance standards for scheduling, staffing, timekeeping, quality indicators, regulatory requirements, cost, workload acuity, and workforce strategy

  4. Skilled in effective management of the scheduling and staffing technology systems

  5. Focused on optimizing the experience and empowerment of the colleague

  6. Qualified to conduct workforce management skill gap assessments and focus groups to solicit feedback

  7. Primed to provide remedial training and coaching to share best practices and facilitate educational activities

  8. Bachelor's degree in business, healthcare or related field and an equivalent combination of education and experience.

  9. Healthcare experience preferred. Experience with staffing complex 24/7 operations healthcare services, such as inpatient nursing, emergency care, etc. highly desirable.

  10. Experience in using and optimizing workforce management applications in acute and ambulatory healthcare settings to ensure patient care delivery excellence highly desirable.

  11. Minimum of three (3) years work experience in related field or role.

  12. Lean, six sigma or related experience or certification preferred.

  13. Strong leadership and team building abilities; Formal leadership experience preferred, but not required as leadership may be demonstrated in ways other than previous job titles.

  14. Strong proficiency with Microsoft Office 365 (Word, Excel, PowerPoint). Experience with business intelligence reporting tools or other business dashboards preferred.

  15. Ability to develop/maintain effective collaborative relationships and partnerships with leaders, stakeholders and decision makers.

  16. Experience in project plan development, workflow analysis, and managing complex process improvement/change management projects preferred.

  17. Strong attention to detail and organizational skills.

  18. Ability to support multiple concurrently running projects and adapt to changing deadlines, competing priorities and unexpected assignments.
