What you will do
In this role, the Senior Executive Assistant offers administrative support to the Associate Vice President for Global Health Economics, maintaining confidentiality and integrity with all information handled in the position. You will handle a wide range of tasks, such as managing calendars, coordinating travel arrangements, preparing documents, being responsible for communications, and partnering with other administrative staff. You will also act as a delegate for some of Amgen's systems and processes and ensure the smooth and efficient operation of the Global Value and Access operations.
Responsibilities include:
Proactively manage executive’s calendar with a focus on efficient time utilization and time conflict management, ensuring the AVP is appropriately represented at all forums
Lead and/or handle initiatives and programs from the AVP office as needed
Maintains up-to-date global distribution lists and may be called upon to support HEOR/GV&A wide communications
Manages and coordinates logistics (flights, transportation, location) for site visits for business meetings
Answer questions/furnish information to keep the executive's time free of minor detail work, including screening and advising incoming meeting invitations, calls, and correspondence
Plan and prioritize work to ensure the executive has appropriate time to perform their duties and to be present on time and prepared for their commitments
Prepare the AVP with pre-read and briefing documents in advance of daily meetings
Coordinate arrangements for and complete key tasks to effectively handle a variety of global business meetings using the latest technologies
Conserve executive’s time by acting as a delegate within some of Amgen’s systems and processes as allowed by delegation requirements, as well as initiating calls and teleconferences
Maintain a keen awareness of and sensitivity to global time zones, as the HEOR team is comprised of many international staff members
Review, prioritize and flag high priority communications (emails and documentation)
Oversee HEOR Leadership Team meeting agendas; gather appropriate documents (i.e. pre-reads, presentations, etc.), issue agenda and pre-reads to the meeting participants
Schedule, coordinate, and track events related to the team
Coordinate extensive domestic and international travel arrangements amidst dynamic business requirements
Preparation and processing of expense reports
Run multiple priorities in a constantly evolving environment

A Master’s degree or equivalent combination of education and experience
At least 8 years of executive administrative experience, preferably in a biotechnology or pharmaceutical company
Proficiency in Amgen technologies and platforms like Workday, Concur, PowerPoint, Word, etc.
Proficient in English communication, both verbal and written, with the ability to interact professionally with internal and external stakeholders at all levels
Demonstrated proactive thinking and anticipation of business needs and requirements
Proven skill in building professional relationships, collaborating with colleagues, and meet business objectives
Ability to work in a fast-paced environment
Ability to prioritize projects of greater urgency and importance
Excellent time management and project management skills
A collaborative attitude and openness to sharing best practices
