Examples of Work

Through a team approach, the Office Services Manager I directs the operational support and day-to-day activities of inventory, ordering, requisition, PO creation, and receiving processes within a newly centralized procurement department as part of DHHS' Operations Division. Responsibilities include: Supervisory - oversee warehouse, procurement, processing and/or help desk staff to ensure adequate training, development and compliant processes in support of centralized procurement functions. Lead by example to create an accountable, productive, and empowering environment. Work with direct reports in other physical locations. Management areas include inventory/warehouse support and invoice/PO/receiving processing. Work with direct reports and facilities staff across the state to continue to centralize procurement functions and process requisitions electronically. Provide suggestions and implementation help to ensure ease of ordering, value-added processes, and transparency. Help Desk Operations - Lead efforts to establish and maintain a centralized procurement help desk and resource center, aimed at serving a diverse group across the state. Work with direct reports and stakeholders across DHHS to create a customer-first model focused on yielding results across the agency.

Qualifications / Requirements

REQUIREMENTS: Experience in office administrative functions, bookkeeping, and secretarial work including experience leading other clerical, secretarial or technical support staff.

PREFERRED: Associates Degree in business administration, public administration, supply chain, analytics, or related field. Related work experience substitute for degree requirements on a year-for-year basis. 3 years of direct customer/user care and/or training experience. Experience working with a variety of software applications. SharePoint, Microsoft Word, Excel, Outlook (or similar type of software) experience. eProcurement experience, experience working in a heavily regulated environment governed by state and/or federal statutes OR experience in a heavily regulated environment.

Knowledge and proper execution of the State's policies and procedures. Ability to read and understand state statutes, rules and regulations, and standard operating procedures, and interpret/apply as applicable. Communication/Language Skills: Possess and demonstrate effective oral, written and listening skills. Ability to read, analyze, and interpret various documents as well as the ability to train others in performing duties and tasks Reasoning Ability: Ability to apply common sense application of complex governing structure. Ability to apply logic to understand and interpret agency business processes. Ability to prioritize multiple projects in a fast pace, deadline driven environment, utilizing input from others, as appropriate Human Relation Skills: Ability to establish and maintain effective, professional working relationships with all team members, employees, customers, and suppliers Computer Skills: Knowledge of computer systems, including, but not limited to, time and attendance system, information systems, financial and purchasing systems, and policies and regulations. Ability to use the following programs: MS Word, Excel, Outlook, and other purchasing specific software programs. Management Skills: Lead by example in a fast-paced environment.
