General Description:

The incumbent is responsible for effective compensation administration and analysis across the Valent Group Companies to assure internal equity, external competitiveness, compliance and pay equality. In addition, the Human Resources systems specialist is responsible for administration and maintenance of HR systems, assuring effective integration with stakeholder systems and, where needed, participation on a cross-functional team for system upgrades and implementations. Effective system integrations and confidential HR data imports/exports in collaboration with business partners are critical for data security and compliance.

Principal Responsibilities:

  • Administer the Valent Group Companies annual compensation structure and bonus plan review; analyze base salary increases and bonus awards to ensure they follow planning guidelines; evaluate new and updated jobs (including role content and level in a job family) in order to recommend compensation changes to Mgr, Compensation & HRIS and HR Business Partners; implement approved changes. Compensation analysis and administration, performed in a market-competitive and fair/equitable way, is a critical goal for Total Rewards/HR Compliance across the Valent Group Companies.

  • Maintain and update the annual bonus plan documents (including broad-based and sales incentive plans) and assure administration according to plan documents.

  • Process the annual compensation event aligned with approved budgetary guidelines; monitor the system enabled compensation event; assure salary pool recommendations (for merit) are in-line with budget; prepare inputs in presentation for senior leadership and assure annual compensation increase approval(s) have been received prior to processing.

  • Administer the annual bonus plan payout process including assuring payout according to plan documents; prepare analysis and summaries in presentation for senior leadership; participate in Valent Group company bonus payout reviews with HR Business Partners and identify any outliers/unexpected results; assure approval and timely processing of bonus payments.

  • Responsible to contribute toward the planning, administration and communication of compensation programs, and related total rewards plans across the Valent Group of Companies.

  • Enable business processes and system functionality for annual HR events including: the performance management process, the compensation event, annual bonus plan payouts, talent reviews, development planning, goal setting, and other events.

  • Assure HR Business Partners are appropriately trained on annual business processes and system functionality; review and recommend updates to employee/manager end-user training material; develop train-the-trainer sessions for HR Business Partners to complete effective employee/manager training.

  • Partner with Mgr, Compensation & HRIS and Legal to plan for compliance training required for all Valent group company employees and administer systems to deliver training; enable training schedule; launch compliance training in partnership with HR Trainer; assure connectivity/integration with Learning Management System (LMS) to appropriately track compliance training.

  • Partnership with Learning Management Systems to ensure appropriate functionality; training library that meets our business needs; integration with HRIS/Talent Management system to track training; train HR Business Partners/Managers on functionality to assign training to users based on individual development plan needs; manage LMS administrator access.

  • Provide insight and HRIS perspective as internal subject matter expert for projects/initiatives with a compensation impact involving interaction with staff at professional, manager, and leadership levels.

  • Provides robust HRIS Security, including summarizing existing and planned employee data, who has access to employee PII (personally identifiable information), and engaging with business partners and IT when data feeds include employee information to other systems (e.g., SAP, Concur, Vector Solutions).

  • Develops monthly, quarterly, semi-annual, and annual reports and dashboards as well as building and sharing key human capital analytics (e.g., time to fill vacancies, headcount, overtime, turnover) across the Valent Group Companies HR team.

  • Collaborates with business process owners, IT, and other stakeholders to identify opportunities to improve business processes and configure our HR systems appropriately.

  • Primary system administrator for Reward and Recognition program and LinkedIn Learning applications.

  • Ensures data quality through training, reporting, auditing, and data governance.

  • Works with Mgr, Compensation & HRIS and other key stakeholders to update/improve business process maps, data dictionaries, and end user system documentation.

  • Act as a supporting resource (and at times lead) system upgrades, HR user acceptance testing, and HR user training.

  • Maintain employee user training materials on system functionality and employee annual HR processes (performance management, compensation events, talent development, goal setting) and update/improve end-user documentation.

  • Support required report submissions such as quarterly headcount, annual EEO-1 (race & ethnicity data), annual CA Pay Data Reporting (race, ethnicity & comp data); HR metrics reporting and analysis such as turnover and recruitment metrics; other key HR metrics; Fulfills ad hoc reporting requests and provides data analysis when requested.

Qualifications:

  • Bachelor of Science or Arts degree required, and minimum 3 – 5 years HR experience including HR system administration and compensation analysis (benchmarking & leveling, job documentation & evaluations).

  • Effective interpersonal and communication skills to work collaboratively with people leaders, direct manager, HR business partners and employees.

  • Demonstrated experience effectively participating in and playing a lead role on projects, including HR annual processes and systems projects (upgrades and/or implementations).

  • Demonstrated business process acumen combined with analytical skills, and the ability to review and understand complex systems information structures involving multiple layers of data and workflows.

  • Expertise in effectively administering HR systems to prepare HR process such as performance management, compensation events (e.g., base salary increases, annual bonuses, etc.), goal setting (annual and development categories), Learning Management System oversight and administration and connectivity of various systems (Reward & Recognition and LinkedIn Learning applications).

  • Numerical aptitude, strong analytical skills, problem solving and comprehensive attention to details.

  • Computer proficiency including the ability to create and maintain complex Excel workbooks; Microsoft office suite. Experience with SuccessFactors, ADP and/or Workday systems preferred.

  • Effective planning, organizational skills to complete time sensitive activities and projects.

  • Ability to maintain confidentiality in all work responsibilities.
