Job Title: Lead Contract Support

The main responsibility of this role is to provide leadership to the Contract Support team and financial and administrative support to the Finance & Contract Support Manager and Finance Leads

Main Duties and Responsibilities

· To assist with the control of all financial and commercial aspects of contracts, this includes but not limited to

o ManaginginvoicepoolsupportingtheCSteamwithclearingoverdueinvoices

o MonitorthecontractsOPO’sandGRNIover90daysandsupportresolvingissues

o Monitor the contracts debt and support both Contract Managers and Contract Support on resolving issues

o MonitorthecontractsWOMtoensureeverythingiscurrentandsupportinclosingoutaged Work Orders. Also, ensure WOM meetings are conducted thoroughly with the correctanalysis

o UBR/UERreviewandmanagementwithteams

· To prepare and issue weekly metrics document and give updates on metrics during weekly teammeetings

· ToliaisewithFinanceManagerandFinanceLeadsonFinancialAdHocRequestssuchasPO compliance and Debt management

· AttendContractReviewsandcontributesharingbestpracticeforimprovements

· PlanandleadregularContractSupportMeetingsandLCS(I.e.thewholeContractSupport)

· Holdregular1-1swithLCSteamtocheckonsupportonareaofweaknessesandsupport

· Ensure ContractSupportnewstartershave all systemssetup and necessarytraining hasbeen carried out

· ArrangeandsupportwithannualleavecoverforLCS/CS

· Createandmaintain6boxforCSalongwithimprovementplan

· ProvideadhoctrainingfortheCSandManagementteamonSLTsubjects

· ConductContractSupportandHelpdeskInterviewsforpotentialandcurrentvacancies

· SupportwithFinanceandContractSupportManagerandFinanceLeadswithMonthEndtaskswhere needed

· SupportinthemobilisationanddemobilisingofContracts

· ReviewAnnualMaintenancePO’s&otherPOswhenrequired

· Ensure the billing process is followed and managed to meet internal billing deadlines to avoid UBRcreation

· SupportwithBusinessUnitimprovementprojects

PERSON SPECIFICATION

· Agoodbasiceducationisessential,withatleastGCSEpassesinMathsandEnglishorequivalent.

· Highereducationalqualificationsto‘A’level/HNC/Dordegreewouldbebeneficialorequivalent.

· GoodPCbasedskills,withexperienceinWord/ExcelandOutlook,PowerPointetc.–intermediate to advance level.

· Mustdemonstrateastrongsenseofcustomerfocus.

· Excellentverbalandgoodbasicstandardofwrittencommunicationskills.

· Self-motivated,proactiveandsystematic.
