THE ROLE

Insomniac is currently seeking a Project Manager for Production & Operations that is detail-oriented and experienced in assisting with the production and operations of live music events as well as other special projects. This person will provide direct support and report to the SVP of Production, Operations & Experience to ensure a cohesive coordination of all pre-show, on-site, and post-show productions. This is not a remote position and reports into our Las Vegas, NV office on a hybrid schedule.

RESPONSIBILITIES

  • Maintain day-to-day flow of projects in production and operations

  • Create and maintain project timelines

  • Maintain changes in operational documents such as pressure points manager assignments, command post dispatch guide, meeting agendas and notes.

  • Help create and maintain event budgets, updates and collection of information from department managers along with festival producer

  • Support purchase order system and management in conjunction with the budget tracker files

  • Track all quotes and submitted invoices

  • Manage post show invoice review and submission as required and facilitate final sign offs with department heads, production finance, and reconciliation team

  • Manage and see through inception to execution of ancillary projects as needed

  • Help facilitate after action meetings and collect show data with festival Project Managers to create useful document for future planning

  • Process invoices and payment requests in conjunction with the accounting team and processes

  • Analyze and review travel requests and organize for Producer so that approvals and adjustments can be made based on what is actually needed for the event

  • Facilitate weekly festival meetings; organize attendees, scheduling, set up and take/distribute notes

  • Partner with internal HR team to assist in generating offer letters, completing temp staff paperwork, and onboarding seasonal employees as needed by Production & Operations managers

  • Support producer with gathering departmental updates as needed for all assigned shows

  • Provide build/strike schedule updates and coordinate with all departments for a global schedule

  • Collect and communicate CAD mapping updates as needed

  • Track project process in Asana and provide updates to all stakeholders

  • Review per diem requests for department (when applicable)

  • Schedule daily production meetings across all departments during show builds and strike when on site

  • Liaise between Producers and department heads to ensure all event directives are achieved

  • Provide clear, concise communication with all relevant stakeholders as directed

  • Source and procure various onsite assets as needed

  • Recruit, train and onboard members on the team both directly and partnering teams

  • Other special projects and tasks as assigned as needed in a project management role

  • Some travel will be required (economy)

  • Additional responsibilities as needed

QUALIFICATIONS

  • 5+ years’ experience in live event planning and producing

  • Proven ability to manage teams for planning and building large-scale events, tours or music festivals

  • Proficient in spreadsheets, database management systems and analysis via various platforms and software

  • Must be motivated with an “Everything is possible” attitude

  • Must be an active problem solver, instilled with a sense of urgency for projects large and small

  • Excellent work ethic and high levels of integrity

  • Professional, positive, and energetic behavior and attitude

  • Ability to manage high intensity and stressful situations with aplomb

  • Proficiency and quick learning ability with Apple operating systems, Google Suites, Airtable, other programs as necessary

  • A problem-solver who is detail-oriented and has excellent organizational skills

  • Must possess excellent written and verbal communication skills

  • Ability to manage multiple projects and tasks in a fast-paced environment

  • Must be able to work nights and weekends and travel overnight/weekends

WORK ENVIRONMENT

  • Must be able to tolerate loud noise levels & busy environments when on site at various event locations

  • May work in drastic temperature climates when on site at various event locations

  • Must be willing to travel to work during holiday, evening, weekend hours and travel to events, as required

The expected compensation for this position in Las Vegas, NV is:

$75,000.00 - $95,000.00 USD
