Job Description

PCI is seeking an Administrative Assistant for its Chicago 573 operations based in Lake Zurich, IL . This individual will assist with a variety of administrative duties, including the following:

  • Assist with payroll processing and accounts payable (A/P) functions, as needed

  • Engaging in customer billing and collection of past due accounts

  • Facilitating onboarding for new hires and ensuring completion of required documentation

  • Organizing and storing information in digital form

  • Tracking signed proof of delivery

  • Assist with creation of Certificate of Insurance

  • Processing field Travel & Expense reports

  • Handling the administration email inbox

  • Responding to incoming calls with excellent customer service

  • Assist with contract management

  • Provide support to Branch Manager, Project Managers, and Estimators

This is a full-time hourly position. Scheduled days are Monday through Friday from 8:00 am - 5:00 pm.

Salary range: $20-$25 per hour depending on experience.

Requirements

Basic Requirements:

  • Minimum 1-5 years' experience in office administration, payroll, accounts payable, or accounts receivable

Minimum Requirements:

  • Ability to prioritize, work on multiple tasks concurrently, and meet deadlines

  • Ability to thrive both independently and within a collaborative team environment

  • Showcases strong oral and written communication skills

  • Possesses ability to effectively connect with employees at all levels

  • Displays excellent customer service skills and maintains professionalism with all vendors and customers

  • Exhibits impressive organizational skills and attention to detail

  • Displays critical thinking and problem-solving skills

  • Working knowledge of Microsoft Office suite, including Microsoft Excel, Word, SharePoint, and Teams

  • Has a track record of maintaining consistent punctuality when arriving for scheduled work hours

  • Demonstrates proactivity, a strong willingness to learn new skills, and ability to adapt to new challenges

Preferred Requirements :

  • Bilingual in Spanish and English preferred

  • Associates or bachelors degree in business administration or similar field preferred

  • Experience working in the construction industry is preferred

  • Local to the Chicago Metro is preferred
