AON Administrative Assistant (Risk and Compliance Team) in Krakow, Poland

The Administrative Assistant role forms part of the UK Risk and Compliance (“UKR&C”) function. UKR&C reports through to the Global Law and Compliance function.

This role will deliver high quality and efficient support to the UK Risk & Compliance teams, supporting the embedding of an appropriate risk and compliance culture across the United Kingdom business and functions and also ensuring behaviors and conduct are in line with the Aon Blueprint.

What the day will look like

  • You will be providing support to the Executive Assistant for the EMEA CRO/CCO and EMEA General Counsel, covering diary management activities during periods of annual leave and supporting other activities as required.

  • Provision of diary management for the Deputy Chief Compliance and Deputy Chief Risk Officers, including travel bookings, expenses, training bookings.

  • Liaison with the FCA, acting as the central point of contact, working with the Supervision team to set up regular and ad-hoc meetings (PE meetings, Annual Strategy meetings), co-ordinating preparation activity, supporting development of meeting materials.

  • Attending FCA meetings, minute taking and action chasing.

  • Management of the dedicated FCA mailbox. Tracking outstanding actions and

  • Provide support for quarterly team meetings and other team events including any offsite team meetings.

  • Undertake Global Spend Management processes on behalf of the team, raising purchase orders and processing invoices from third-party service providers engaged by the UK R&C team.

  • Work with People Managers across the UK Risk & Compliance Team to support the onboarding activities for all new colleagues into the team. Ensure the experience is smooth/informative and without unnecessary delays.

  • Arrange IT hardware/software/TT support/ introductory meetings with key stakeholders for new starters. Conduct new colleague training for all Aon systems.

  • Work with UK R&C People Managers to make the necessary arrangements for the offboarding of any leavers from the R&C team – collection of equipment, collection of passes, closing access to R&C systems and folders as required.

  • Complete a half yearly audit of the Shared Drive to review access controls and ensure that the right people have access rights.

    Skills and experience that will lead to success

  • English level – B2+/C1 minimum (written and spoken).

  • Experience of exercising discretion when dealing with confidential information. Strong ethical approach to work.

  • Strong attention to detail.

  • Ability to work on own initiative

  • Ability to communicate effectively on all levels.

  • Excellent organisational and time management skills, able to cope during times of high workloads. Proactive and able to prioritise workload effectively.

  • Computer literate (advanced skills in Excel, Word, PowerPoint and others) – ability to quickly learn new software applications and to educate others in them.

  • Experience in general administration and international environment would be an asset.
