Job Description
ASM Global, the leader in privately-managed public assembly facilities, has an excellent and immediate opening for an Event Manager with ASM Knoxville at the Knoxville Convention Center (KCC) and World's Fair Exhibition Hall (WFEH). Job responsibilities are to provide professional client services support in planning, organizing and management of events within the facility including monitoring the logistics of these events. As well as providing all event coordination tasks after events are booked through their conclusion.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Plans and coordinates multiple complex events including: review and evaluate event plans, develop detail diagrams, layouts, policies and procedures, provide recommendations to event organizers and groups, hold pre and post meetings, distribute information to departments for implantation of all contractual obligations.
- Assess client needs, obtains and organizes detailed information and requirements from clients, and manages the event as it relates to production internally.
- Provide exceptional customer service, hospitality, and prompt attention to the clients' needs.
- Provide timely and accurate information necessary to produce event and communicate with other operational departments. Monitors and supervise facility set-up when necessary.
- Act as key contact with the customer for communication and logistical requirements.
- Create and develop event resume, work orders, assist clients with room sets, A/V requirements and labor needs.
- Ensure clients and contractors follow contractual terms and facility guidelines.
- Plan and review client and contractor event specifications, including all needs and deadlines.
- Collaborate with Visit Knoxville (KCVB), contractors, and internal partners.
- Manage event related decisions based on KCC/WFEH and ASM policies and procedures.
- Maintain awareness and knowledge of surroundings to prevent accidents, especially while on the exhibit hall floor.
- Oversee equipment rentals of KCC/WFEH owned equipment to clients; including chairs, tables, risers.
- Coordinate assigned events and interfaces with managers of other events scheduled during the same period to avoid any conflicts in overall production.
- Notify Director of Events Services if facilities or equipment are in need of repair or replacement.
- Know and model the operating policies and procedures of the Knoxville Convention Center and Worlds Fair Exhibition Hall and the ASM Knoxville/ ASM Global Code of Ethics.
- Operate across several disciplines and deals with a wide variety of situations.
- Prepares event budgets, monitors event expenditures, produce revenue projections, and monitors final billing.
- Advises clients on facility capabilities, required permits, company policies and procedures, and determine event costs and final settlement.
- Accessible through email, phone, or cell phone 24 hours per day, including holidays, in the event of an emergency situation impacting the assigned events.
- Monitors in-house events, maintaining close contact with clients and facility staff to ensure successful events. Follows-up on all client requests, concerns and problems.
- Know and handle crowd management, security procedures, building code, applicable laws and regulations (such as pertinent health, fire and safety laws) principles.
- Serves as a liaison to coordinate and order labor such as Police, Fire, Medical and any other security.
- Conduct and attend appropriate planning meetings, organization and other event facility meetings in support of facility operation.
- Serves as manager on duty as required.

QUALIFICATIONS:
- Exceptional interpersonal, organizat on, communication (both written and verbal), and presentation skills.
- Excellent negotiation skills.
- Exceptional communication skills with a high emphasis on customer service and keen attention to detail required.
- Excellent business judgment and willingness to make timely decisions.
- Excellent planning, organizing, and prioritizing work activities, using time efficiently and develop realistic actions plans.
- Excellent organizational skills and time management. Be able to plan ahead and anticipate needs before they happen.
- Ability to respond effectively to the most sensitive inquires or complaints. Adapt to changes in the work environment, managing competing demands, frequent changes, delays or unexpected events and manage conflict.
- Ability to multi task effectively and efficiently.
- Must be self-motivated.
- Knowledge of crowd management
- Must be result oriented with the ability to lead. Be able to interact with all levels of staff and work under limited supervision.
- Ability to work within the Social Tables and ASM booking system (after training).
- Ability to identify and resolve problems in a timely manner gathers and analyzes information accurately and skillfully.
- Excellent communication and problem solving skills.
- Must be energetic, forward-thinking, creative individual with high ethical standards.
- Ability and willingness to work irregular schedules and hours in fast-paced environments.
- Must portray an appropriate professional image and attitude.
- Strong Computer skills (Excel, Word, Outlook Email and PowerPoint)
- Must be able to pass company background standards.
EDUCATION AND/OR EXPERIENCE
- BA degree in hospitality, business, facility management or related field (preferred).
- 1-2 years of event planning, meeting planning, or production experience.
- Minimum 2 years of experience in the hospitality industry and/or customer service (preferred).
PHYSICAL DEMANDS:
- The employee must occasionally lift and/or move up to 50 pounds.
- Walk and stand extensively
- Occasional required to kneel, climb, reach and stoop.
- Manual dexterity to operate office equipment such as a computer is required.
HOURS OF WORK AND TRAVEL REQUIREMENTS
Must be able to work extended and/or irregular hours, including nights, weekends, and holidays as needed.
