Robert Half Office Manager/Billing Coordinator in Kaneohe, Hawaii

Description

We are offering a contract to hire employment opportunity for an Office Manager in the construction industry, based in Kaneohe, Hawaii, United States. As an Office Manager, you will be responsible for ensuring the smooth running of our office operations and coordinating all billing activities. Responsibilities

• Oversee daily office operations to ensure a smooth workflow

• Manage and coordinate all billing activities, including preparing, sending, and storing invoices

• Communicate effectively with clients regarding billing issues, payment plans, and deadlines

• Collaborate with project managers and internal teams to ensure accurate billing details

• Update and maintain office policies and procedures

• Manage inventory of office supplies and place orders as necessary

• Organize office events and meetings

• Handle customer complaints and queries regarding invoices

• Schedule appointments, meetings, and maintain the company calendar

• Prepare periodic expense reports and other administrative reports

• Monitor the processing of payments and expenditures

• Answer and direct phone calls in a professional and friendly manner

• Manage and organize office files and records for easy accessibility and reference.

Requirements • Proficiency in Microsoft Office Suites including Microsoft Excel and Microsoft Outlook

• Experience with Accounting Software Systems, particularly QuickBooks

• Ability to handle billing functions accurately and efficiently

• Excellent customer service skills with a focus on responsiveness and reliability

• Proven track record in managing office tasks efficiently and effectively

• Strong organizational and multitasking skills

• Excellent written and verbal communication skills

• Ability to work independently and as part of a team

• High level of discretion and confidentiality

• Proven ability to problem-solve and think critically in fast-paced situations

• Ability to adapt to new technologies and systems quickly

• Demonstrated leadership skills and the ability to make decisions independently.
