Wachholz College Center is located on the main campus of Flathead Valley Community College (FVCC) in Kalispell, Montana. As the premier performing arts facility serving western Montana, the Wachholz College Center (WCC) features a 50,000 square foot facility that includes a 1,014-seat performance and lecture hall, a multi-purpose event and activity complex with two basketball courts, an outdoor amphitheater, a reception hall, and an art gallery.The Wachholz College Center serves the community and college as a premier venue for national touring acts and local/regional artists while also serving as the home of the Glacier Symphony Orchestra. Building and maintaining relationships with community members is essential. WCC annually hosts a variety of ticketed performances across all genres of music, theater, film, and dance while also hosting numerous private events and classes. WCC’s mission is to provide transformative experiences that connect the community through the arts and serve as a cultural resource for FVCC students and the region it serves.The Event Sales and Operations Manager plays an important role in positioning WCC as the premier event venue in NW Montana. This individual will execute the venue and event sales cycle to secure new and returning event business. Additionally, this individual will support ticketed and non-ticketed events by providing exceptional logistics planning and operational management.ESSENTIAL DUTIESEstablishes professional rapport and responds to clients seeking to hold either ticketed or non-ticketed events at WCC.Executes the venue and event sales cycle with clients seeking to hold ticketed and non-ticketed events at WCC. Including, but is not limited to, conducting site visits, producing detailed venue cost estimates, preparing facility use agreements and deposit invoices, tracking payments, and generating event settlements.Communicates with clients, WCC staff, and other FVCC departments to coordinate essential event details. Correctly inputs essential details into venue management software system. Communicates event service needs with other FVCC departments.Assists the WCC Director with the overall venue schedule to ensure events are booked properly within the venue management software system.Utilizes venue and event diagramming software to produce detailed and accurate event floor plans. Event diagrams are used to effectively communicate with clients and internal FVCC set up crews.Serves as event manager on duty for certain non-ticketed and ticketed events to ensure the event plan is executed as envisioned.Fosters a collaborative and professional working relationship with other WCC staff, other FVCC departments, and outside WCC vendors or contractors.Collaborates with WCC exclusive concessions provider to ensure event schedule is continuously updated, and expectations for staffing and scheduling are properly communicated.Utilizes venue ticketing system, as needed, to serve ticketed event clients and produce ticketed event settlements.Coordinates artist/tour travel and hospitality services for WCC sponsored events, including hotel arrangements, ground transportation, food and beverage requirements for artist/tour in dressing rooms and green rooms.In collaboration with the WCC Director and Ticketing Director, assists in the staffing and managing of front-of-house operations for non-ticketed and ticketed events. When needed, leads the patron services staff assigned to events.Participates in annual training and support of WCC’s patron services staff; participates in ongoing development of venue standard operating procedures, including emergency preparedness, evacuation planning, establishing effective event communication policies, and public safety protocols.Recommends methods for continuous improvement to the WCC Director.Cross trains to perform other departmental and team functions; backfills for staff as needed.Actively participates in the development of a climate that promotes and supports innovation and efforts to continuously improve services to students, faculty, and the college.Creates and maintains a collaborative and collegial environment with colleagues and maintains effective working relationshipsMaintains professional ethics and confidentiality of students in accordance with applicable laws and policiesAdvances the mission of FVCC by serving on or convening committees and contributing in the community in related activities.Participates in the development of a climate that promotes and supports innovative services.Performs other duties as assigned.Reports to the Director of the College CenterMINIMUM QUALIFICATIONSBachelor’s degree in a related field and a minimum of one year of professional venue, hospitality or event management experience; OR,Associate’s degree in a related field and a minimum of three years of professional venue, hospitality or event management experience; OR,A combination of five years of higher education and professional venue, hospitality or event management experiencePREFERRED QUALIFICATIONSPrevious experience as an Event Sales and Operations Manager in a busy performing arts environmentPrevious experience working with venue or event management softwareKnowledge of basic event or venue production equipmentExperience in a public, non-profit, or higher education campus performing arts center and an understanding of how all of the elements of live events fit togetherA personal commitment to the value of the performing arts and the ability to convey enthusiasm and relevant information to patrons and clients KNOWLEDGE, SKILLS, AND ABILITIESDemonstrable evidence of strong customer service experience; the ability to think quickly and solve problems to ensure the comfort and safety of patrons; skill in conflict resolutionPeople skills; a talent for diplomacy; a friendly approach that can be efficient and firmMust be highly organized and detail oriented; able to work independently, and exercise strong and considerate leadership.Enthusiasm for the performing arts and artists and the ability to communicate that to patrons and clients.Willingness and ability to work a flexible schedule, including nights and weekends, as required by the event schedule.Ability to build working relationships and meaningfully collaborate with internal and external contacts.Ability to envision new and expanded possibilities, analyze data, identify connections, and formulate new or innovative approaches and insightsOutstanding and effective communication skills, ability to build relationships and networks with key stakeholders to further the mission of the organizationAbility to prioritize tasks and balance timelines to reach the desired outcomes.
