Robert Half Executive Administrative Assistant Advanced (>6 years) in Jersey City, New Jersey

Description We are in search of an Executive Assistant to join our team in Jersey City, New Jersey. This role is central to our operations, providing support to senior-level executives and investment bankers within our organization. As an Executive Assistant, you will be tasked with managing complex calendars, arranging travel and meetings, and handling a variety of administrative tasks.

Responsibilities:

• Manage complex and detailed calendars to streamline executive schedules.

• Screen incoming calls and determine the level of priority.

• Arrange and coordinate domestic and international travel for executives.

• Organize all aspects of internal and external events, including catering and transportation.

• Process invoices and T& E expense claims for team members, ensuring adherence to company policies.

• Assist with staff onboarding and offboarding, including requesting equipment setup and system access.

• Produce high-quality emails and messages to individuals at all levels of the organization.

• Maintain department documents, including current organizational charts and executive bios.

• Assist in editing spreadsheets and presentations, including printing and binding for client meetings.

• Handle regular activities independently and advise in advance of any issues or delays. Requirements • Demonstrated skills in Documentation, Policy, and Invoice management

• Experience in maintaining Quality standards in all tasks

• Proficiency in handling Inbound Outbound Calls

• Capability to create and deliver Presentations

• Knowledge in providing Workstation Support

• Understanding of Logistics operations

• Experience in Onboarding new employees

• Familiarity with Claim Administration procedures

• Proficiency in using Spreadsheets for data management

• Skills in Calendar Management and Expense Reporting

• Experience in Travel arrangement for C-Suite executives

• Knowledge in Printing and Web App usage

• Experience in coordinating Catering services for events

• Ability to make Travel Arrangements and manage Expense Accounts

• Strong Coordination skills for managing various tasks

• Editing and Word Processing skills

• Experience in Arranging Travel for employees

• Experience in coordinating External Events
