This post is for an Administrative Specialist I located in the Whittier Construction office. This position will perform a variety of office assistant duties in support of administrative programs or technical operations. Duties include typing, filing, copying, answering telephone, and directing calls. Good communication skills are necessary. Ability to interpret and apply policies and procedures. Administer payroll/time entry in SAP system; personnel and other office duties such as typing correspondence, filing, and handling of incoming and outgoing mail. Must have knowledge of office equipment and related computer technology (Microsoft Windows, Excel, Access, PowerPoint, Share Point, and SAP.) Process inventory, purchase orders, and accounts payable through SAP. This position may be required to process certified payroll in Share Point. Position may be required to work during any inclement weather.
Knowledge, Skills and Abilities / Competencies

Customer service experience, including resolving customer issues.
Experience with Microsoft Office using programs such as Access, Word, and Excel
Experience completing and/or maintaining records and reports.
Experience interpreting and/or explaining policies, procedures, and laws.
Experience with letter writing, using correct spelling, punctuation, and proofreading.
Additional Expectations:
General knowledge of office work procedures, methods, and practices. Ability to utilize Personnel Manual and Policy and Procedures Manual. Ability to work independently, prioritize daily tasks, process technical information, and follow oral and written instructions. Ability to present information clearly and concisely in oral and written form to communicate with the public, DOT employees and governmental officials. Ability to utilize office equipment and other technology (software and systems) to meet work needs. Ability to facilitate the flow of work and coordinate office support activities with other staff. Candidates should possess excellent composition skills, attention to detail, and consistency with data entry and correspondence. Must be able to work in an inside environment including being exposed to significant sitting for long periods of time. Ability to stoop and bend for filing purposes. May require work during non-traditional work hours, including nights, weekends, holidays, and times of emergency. Microsoft Office, SAP, and customer service experience preferred. Selected applicant will be expected to legally operate a motor vehicle.
Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience or an equivalent combination of education and experience.
