Shell Chemicals Operations Specialist in Istanbul, Turkey

Purpose

Chemicals Operations Türkiye is part of the Shell Chemicals Commercial Operations that is set to create value through Best in Class Customer Service, Delivering the Customer Promise and Operational, Supply and Logistics Excellence.

The role of the Operations Specalist is like a spider in the web. There are many interfaces where the operations is located in the middle of HSSE, Commercial, Regional & Global Supply, Land Logistics, Stock Accounting, Credit, Quality Processes, Customs Clearance, Finance

Accountabilities / Responsibilities

  • Deliver HSSE Goal 0

  • Manage customer relationships (mostly by phone) via proactive customer calling, sensing, collecting Customer Intelligence and feeding it back to relevant Commercial colleagues.

  • Manage internal and external E2E order to cash process in an efficient and error free way. This includes order capture, commitment to orders, resolution of obstacles to commitment, confirmation, progression, order-amendments, invoicing, cash collection, managing complaints, indirect tax and some export related issues.

  • Be guardian of contacts assigned e.g. volume management and adherence to Service and Delivery Standards.

  • Form a natural working team together with Commercial, Supply and Finance.

  • Liaise and manage internal and external stakeholders (third party suppliers and depots).

  • Ensure customer master data is kept up to date, both in systems and in files. Make sure that control, legal and fiscal requirements are met and that evidences/authorizations are kept safely and rigorously for audit purpose.

  • Develop demand forecasts for the area and on the basis of this, agree supply plans from Rotterdam and Houston

  • Manage inventory and put in place processes for inventory reconciliation (admin as well as physical) and loss/gains

  • Raise purchase orders in the local OPCO on SCE and receive the product upon arrival

  • Responsible for assuring that all contracted 3rd party Logistics Service Providers meet the Shell Chemicals HSSE requirements and derived KPI's in terms of safe, reliable, efficient and sustainable operation.

  • Manage the relationships with the various vendors in such a way that optimal value is derived for Shell Chemicals in a safe, cost effective, customer oriented and sustainable way.

  • Manage road transport contracts e.g. Maintain the Contractor Management Plan, assess haulier and driver performance, conduct contract reviews, haulier audits etc.

  • Manage S&H and surveyor contracts e.g. Maintain the Contractor Management Plan, assess contractors, conduct contract reviews, audits etc

  • Manage Freight Rates and payments to haulier

  • Manage S&H and Surveyor contracts & payments

  • Participate in the quarterly review meeting with Road Transport Contractor to discuss and challenge on the KPIs performance

  • Participate in the biannual review meeting with S&H Contractor and Surveyor to discuss and challenge on the KPIs performance

  • Deliver annual road and S&H contract HSSE Plan and ensure Chemicals HSSE Requirements, local policies, and procedures (i.e. emergency response) are regularly reviewed, relevant, aligned to group and local requirements and within validity dates

  • Support investigation and closure of incidents and embed learning in operations

  • Own and lead the Continuous Improvement work in the country

  • Work with customs agent to get their advice and/or solve any issues relating to imported goods clearance

  • Compliance to all laws and standards

  • Fully compliant with ISO9001 Management Quality system and ISO27001 Information security management systems
