Idaho Department of Parks and Recreation is seeking to fill an Administrative

Assistant 1

As an Administrative Assistant 1, you\'ll play a key role in managing campground and day-use

reservations, retail operations, and visitor services. Show off your exceptional

communication skills as you provide accurate information to visitors and research intriguing

details about park facilities, wildlife, and regional travel destinations. Your retail expertise

EXAMPLE OF DUTIES

Operations Support: knows, understands, supports and complies with park and IDPR

goals, objectives and procedures; is knowledgeable about local, regional and state issues

that may affect the park; is knowledgeable of IDAPA 26; obtains required computer, retail

sales and reservation training to ensure proficiency; monitors system performance,

reporting and tracking issues and communicating as appropriate to assure resolution;

maintains professional appearance according to departmental policy; deals appropriately

and tactfully with others; attends all required Department trainings and meetings;

participates in weekly staff meetings;

Visitor services: provides accurate information to the public in person, by phone, email

and social media in a courteous and friendly manner; responds accurately to questions

about park facilities, rules, fees, establishment and geological history; researches and

describes park wildlife and weather trends and forecasts; researches regional cultural,

historical, geological and recreational travel destinations; procures and displays brochures

and maps of regional travel destinations;

Retail: determines what types of souvenirs and supplies would be useful for park visitor

demographic; locates suppliers, purchases, receives and prices items; assembles retail

displays using marketing and merchandising skills; maintains vendor files; monitors

budget; conducts annual physical inventory and adjusts AspiraOne records accordingly;

creates flyers to promote retail shop and posts around park;

Supervision: recruits, interviews, hires, schedules, trains and assigns tasks for Visitor

Center and Entrance Station employees and volunteers; maintains cooperative

relationship with park and departmental staff and volunteers;

Maintenance: ensures visitor center and public restrooms are cleaned to standard and

accomplishes housekeeping duties as required; identifies needed repairs and reports them

to appropriate park staff; cleans and organizes storage closets and shed as required;

ensures janitorial supplies are available;

Financial: adheres to department purchasing procedures; processes incoming funds in

the form of Motor Vehicle Entry and camping envelopes and Observatory fees; creates

deposits and transports monies to bank; maintains change funds; processes invoices into

Payment Services; maintains financial paper records in accordance with departmental

retention plan; administers cottage, float home, and marina leases; manages past dues

and breach of lease; process es annual billing and assignment of existing leases;

General office functions: maintains, organizes, and preserves/disposes of paper and

electronic records; processes invoices; tracks visitation statistics; issues keys to park staff

and maintains key log; composes letters, correspondence and memos; uses a variety of

programs including Microsoft Word, Excel, PowerPoint, and photograph editing software;

updates Emergency Action Plan notebooks annually; updates park brochures and flyers

and posts around the park; tracks Lost &Found items and disposes of items according to

departmental policies; communicates with staff and volunteers about their supply needs

and orders office supplies; tracks supplies and orders uniforms and nametags for

volunteers and seasonal employees; sends, tracks and collects fees for Group Use

Permits; maintains log of visitation statistics; coordinates installation and operation of

computer reservation/registration systems and helps train staff in same.
