Job Summary:

Provide high-level administrative support to the Company President and CEO, and the Vice President-Human Resources as well as the Vice President, General Counsel & Secretary. Support to other Officers of the company, as needed. The ideal candidate will have exceptional communication skills, attention to detail, and the ability to handle a wide range of administrative and executive support tasks. The successful candidate will be passionate about supporting and driving the Company’s Values, RIGHT: Respect, Integrity, Growth, Honesty and Teamwork.

Work Performed:

  • All administrative and executive support functions for executives, including general correspondence, Company and government required reports, and legal documents.

  • Handle ordering lunch when needed, bill payments and managing personal items for Executive team directly associated with. Available to assist others within the Executive team as needed.

  • Screen e-mail, telephone calls and other correspondence of the Company President and CEO, and the Vice President-Human Resources as well as the Vice President, General Counsel & Secretary; resolve issues as the need arises.

  • Manage and Maintain calendars, ensuring smooth scheduling and appointments of the Company President and CEO, and the Vice President-Human Resources as well as the Vice President, General Counsel & Secretary.

  • Monitor and reserve meeting rooms, when requested.

  • Coordinating events and meetings: responsible for coordinating events and meetings, including booking venues, arranging catering, and preparing meeting materials and other members You must be proficient in using tools like Doodle polls to schedule meetings and events.

  • Managing correspondence: Responsible for screening emails and phone calls, responding to routine inquiries, and drafting and sending correspondence on behalf of the Executive Team Review and prioritize incoming mail. Organize and maintain files.

  • Maintain file for scheduling and projects and follow through.

  • File updates to all reference material (employee handbook, policies and procedures, etc.).

  • Attend and assist at various meetings and company conferences as needed.

  • Manage confidential information with integrity and discretion.

  • Coordinate and assist in the preparation of meetings, presentations, and reports.

  • Conduct research, compile data, and prepare documents for review and presentation.

  • Assist in special projects as assigned.

  • Assist Vice President of Human Resources with Performance Management.

  • Assist Human Resources Department in all aspects of updating and maintaining Human Resources Oracle system.

  • Assist Human Resources Department with administration of various program deployment, Enterprise wide training, Commercial Driver’s License, various state licensing. .

  • Assist all departments training requests and registration for all companies. Ensure adherence to policy.

  • Maintain annual service award program for all companies.

  • Update various forms, as needed.

  • Serve as recording secretary at meetings, when required.

  • Arrange for Company sponsored travel (air and ground transportation, lodging, etc.).

  • Obtain Motor Vehicle records of employees, annually and as needed.

  • Prepare monthly expense reports for the Company President and CEO, and the Vice President-Human Resources as well as the Vice President, General Counsel & Secretary.

  • Consistently look for ways to improve internal processes and procedures.

  • Stay educated and well-versed in the services and technology offerings from the Company.

  • Initiate and implement innovative strategies to improve reliability, ease of doing business, and personal attention.

  • Create a cohesive, collaborative team environment.

Qualifications:

  • Minimum of a high school diploma or equivalent.

  • Ten years secretarial or equivalent experience.

  • Good typing skills with a minimum speed of 60 wpm.

  • Shorthand and

  • Advanced computer experience

  • Advanced knowledge and skillset in the use of Microsoft Office to include but not limited to Word, Excel, PowerPoint and Outlook.

  • Professional communication and interpersonal skills.

  • Ability to compose a variety of correspondence.

  • Strong organizational skills and the ability to prioritize tasks efficiently.

  • Excellent written and verbal communications skills.

  • Ability to handle multiple projects with superb accuracy.

  • Knowledge of office management systems and procedures.

  • Experience with data entry and maintaining databases.

  • Exceptional phone etiquette and experience with phone systems

  • Familiarity with tools like DocuSign for document management.

  • Strong Math skills

Physical Requirements:

  • This position requires constant operation of a computer and other office equipment such as printers, copiers, calculators.

  • Must have the ability to visually inspect and review hard copy and online documents.

  • Must be able to communicate, detect, converse with, discern, convey, express oneself, discuss and exchange information.

  • Use written, verbal and audio communication and information sources.

  • Must be able to occasionally move about inside the office and use stairs to access file cabinets, office machinery, etc.

  • Must be able to remain in a stationary position 50 % of the time.

  • Must be able to occasionally lift and/or move up to 25 pounds.

LANGUAGE SKILLS: Requires excellent knowledge of the English language and excellent spelling.

Candidates must possess authorization to work in the United States.

Candidates must be able to pass a drug screen, pre-employment physical, background check, and have a valid driver’s license.
