Job Title: Facilities Maintenance Coordinator[RS1]

Report to:Director of Public Works and Engineering Services

Job Summary: The Facilities Maintenance Coordinator is responsible for ensuring the overall upkeep, functionality, and safety of the organization's buildings, grounds[RS2] , and facilities. This role involves performing routine maintenance, repairs, and inspections of mechanical, electrical, plumbing, and HVAC systems, as well as responding to emergency maintenance requests. This role assesses what work can be accomplished internally and what work requires coordination with outside vendors or contractors. Coordination includes scheduling and clear communication between outside vendors or contractors and City Department Heads or appropriate designees within a department. The coordinator ensures that the workplace environment remains safe, clean, and operational for all employees and visitors.

Key Responsibilities:

  • Routine Maintenance and Repairs:
  • Perform regular inspections of all facilities, including HVAC systems, plumbing, electrical systems, lighting, and safety equipment.
  • Conduct preventive maintenance tasks, including replacing filters, lubricating equipment, checking for leaks, and maintaining the overall condition of the buildings infrastructure.
  • Respond promptly to maintenance requests from employees and management, addressing issues such as plumbing leaks, broken fixtures, electrical issues, and malfunctioning equipment.
  • Repair and replace damaged or worn-out parts of buildings, systems, and equipment as needed.
  • Building Systems Management:
  • Monitor and maintain building systems such as heating, ventilation, air conditioning (HVAC), elevators, and security systems to ensure optimal performance.
  • Ensure compliance with health, safety, and environmental regulations, including fire alarms, emergency lighting, and escape routes.
  • Assist with setup and maintenance of specialized equipment and facilities as needed (e.g., conference rooms, kitchens, labs, etc.).

  • Safety and Compliance:
  • Coordinate with contractors or vendors for appropriate inspections and permits.
  • Conduct safety inspections to identify potential hazards and make recommendations to mitigate risks.
  • Ensure that all fire safety equipment is operational, including fire extinguishers, alarms, and sprinklers.
  • Maintain a clean and safe working environment, keeping all tools, equipment, and supplies properly stored and organized.
  • Maintain records of work completed, including safety inspections, preventive maintenance schedules, and emergency repairs.
  • Troubleshooting and Emergency Support:
  • Respond to emergency maintenance issues, including power outages, leaks, or HVAC failures, and provide immediate troubleshooting and solutions.
  • Coordinate with external contractors for specialized repairs or services when needed.[RS3]

  • Perform general cleaning and maintenance duties, including carpet cleaning, painting, mowing, and landscaping, as required.[RS5]

Skills and Qualifications:

  • Proven experience in facilities maintenance, building maintenance, or related fields.
  • Basic knowledge of electrical, plumbing, and HVAC systems.
  • Ability to operate and troubleshoot a wide variety of building systems and machinery.
  • Strong problem-solving skills and the ability to prioritize tasks effectively.
  • Familiarity with budgets and avoiding overruns.
  • Knowledge of safety protocols and building codes.
  • Ability to work independently and as part of a team.
  • Physical stamina and the ability to lift, move, or repair equipment.
  • Excellent communication skills for interacting with employees and external vendors.

Education and Certifications:

  • High school diploma or equivalent required.
  • Technical certifications or relevant vocational training (e.g., HVAC, electrical, plumbing) is a plus.
  • Occupational safety training or OSHA certification is a plus.

Work Environment:

  • Work will be performed both indoors and outdoors, depending on the needs of the facility.
  • Work may be required mornings, evenings or weekends depending on the facility's operational schedule or unforeseen events and emergencies.

Job Type: Full-time

Pay: $45,000.00 - $55,000.00 per year
