The Onboarding Specialist is responsible for providing onboarding support for our field staff. Onboarding Specialists are the point of contact for questions surrounding onboarding and compliance. Demonstrates respect, efficiency, and excellent communications, and maintains positive working relationships with colleagues.

DUTIES/RESPONSIBILITIES:

  • Ensure all new hires comply with company, Federal, and State regulations required for employment.

  • Manage the onboarding process for assigned applicants. Create necessary profiles in various systems to ensure timely and accurate information is stored and tracked throughout the onboarding process.

  • Employment eligibility and verification:

  • Administer background checks and discretionary risk assessments, completion of I-9s, references, EPS Staff Checks, Social Security Verifications, and certification authentication, etc.

  • Compliance:

  • Maintain application profiles in Applicant Tracking System.

  • Gather and process employee fil paperwork and ensure quality and accuracy of all documents.

  • Communication:

  • Completes outbound phone calls to assigned applicants at least two times per week.

  • Follows up with text message and email communication when phone calls are unsuccessful.

  • Maintains a positive working relationship with all areas of the business. Regularly communicates with direct supervisors to address concerns and offer solutions.

  • May also perform skilled administrative tasks including:

  • Maintain confidential records (office employee files, health records, protected information).

  • Answer phones, file, copy, fax, scan etc. as required.

  • Participates in staff meetings, company sponsored trainings and team meetings as directed.

  • Performs other job-related duties as assigned.

REQUIRED SKILLS/ABILITIES:

  • Proven experience in onboarding in high-volume, non-exempt hiring.

  • Excels at problem solving and isn’t afraid to change courses when things aren’t working.

  • Focuses on what we can control and is a good influencer in the business.

  • Understands the candidate and field experience is key to achieving our goals.

  • Sets a great example to the team by consistently achieving goals and having a positive attitude.

  • Flexibility to adapt to a dynamically changing environment.

EDUCATION AND EXPERIENCE:

  • Prior office experience including data entry and compliance review.

  • Intermediate computer skills (Microsoft Suite).

  • Customer service and high phone volume experience preferred.

PHYSICAL REQUIREMENTS:

  • Typical office setting, indoor and extensive use of computer.

  • Minimal lifting, bending but role typically requires long periods of sitting.

  • Ability to travel between assigned locations as needed.
