POSITION SUMMARY

The Administrative Assistant (Oral Health) is expected to perform a wide variety of duties in support of the Hawaii Dental Service (HDS) Hawaii Keiki (HK) Dental Sealant Program. These duties may involve routine standard assignments and non-standard assignments. This may require integrating different and unrelated processes and procedures to achieve a desired outcome. The Administrative Assistant is expected to work independently and with a high degree of competence.

Meeting of the employees professional responsibility will be in line with the duties described below and in coordination with the Employees supervisor

Location:UH Manoa/Various School Sites/Home

This Hybrid part-time positionwill beworking3 days per week(20 hours). The schedule will vary and be confirmed ahead of time by the the Oral Health Program Manager.

Two (2) - 8 hour days:

  • Tuesdays or Fridays from 8:00am - 4:00pm: Oahu School Site Visits
  • Wednesdays or Thursdays from 8:00am - 4:00pm - Charting and prep for site visits (UH Manoa)

One (1) - WFH Half day - 4 hours:

  • 8am-12pm - Phone calls, dental prep kits and packets and other duties as assigned (Work From Home)

ESSENTIAL JOB DUTIES AND FUNCTIONS

Administrative and Clerical Functions:

  • Exhibits polite and professional communication in person as well as via phone, e-mail, and mail.
  • Prepares paperwork for dental sealant visits. Before the visit, prints and collates parent consent form packets (letters to parents, flyer, consent form for each school, cheat sheet preparation instructions for distribution of consents form for HT) and dental sealant visit packets (cheat sheets, preparation instruction of paperwork/goody bags for HT, sealant event data, data collection form, parent report form, room requirements, SASE of program evaluation form for school administration).
  • Prepares dental sealant kits (chair covers, table covers, dental bib, gloves, and gauze) and goody bags (toothbrush, toothpaste, and floss) ahead of dental sealant visits.
  • Schedules pre-visit with HK complex area RN and drops off parent consent form and dental sealant visit packets along with goody bags three to four weeks ahead of dental sealant visits.
  • Follows-up on returned consent forms with HK complex area RN (two weeks, one week and one-two days before visit).
  • Sends email reminders to dental sealant team and HK nurses, including date, time and parking instructions.
  • Post-visit, scans forms (parent consent form, sealant event data, and parent report) and uploads to students files into a google drive folder to be sent to OHPM.
  • Post-visit, inputs the following data into Dental Sealant google drive folder: student sealant event data into spreadsheet, HDS/HDS Medicaid claims payments information into billing folder, sealant visit pictures into photo folder.
  • Inputs data into DOE Infinite Campus online management system.
  • Inputs monthly data into a report for distribution to HDS and community stakeholders upon request.

Dental Sealant Visit on-site support

  • Assists unloading and setting up equipment at the school site.
  • Assists with sealant prep with hygienists
  • Assists breakdown of on-site equipment and reloading of equipment into vehicles.
  • Collects paperwork at the end of the visit.

Program Manager Support:

  • Assists with scanning and uploading of receipts for p-card reconciliation.
  • Assists with scanning and uploading travel reimbursements into the UHP Reimbursement management system.
  • Assists with formatting and processing of dental sealant program policy and procedures, guidance sheets and templates.
  • Assists with scheduling visits and other virtual meetings and making Google calendar invitations.
  • Assists with preparation of dental sealant update for HK administrative team me ting.

Other:

  • Complies with all legal requirements and company policies.
  • Performs all other duties as assigned.

QUALIFICATION REQUIREMENTS

Education/Training andExperience**

Minimum:

  • Associate's Degree or equivalent amount of related work experience.
  • Three years of experience providing administrative support

Preferred:

  • Bachelor's Degree from a college or university of recognized standing.
  • Three years of experience providing administrative support to Program Manager level or above
  • Experience in a dental related field
