Job Summary

Provides clerical support and administrative services for the transportation department. Maintains vehicle inventory and assigning number and abbreviations of departments to university vehicles. Responsible for ordering university tags for new and old vehicles. Uses a variety of platforms to complete tasks such as: Excel, Word, TMA, FuelMaster, Outlook, various web pages. This position is considered essential personnel and may require storm duty as well as, possible on-call duties.

Primary Duties and Responsibilities

  • Call for tires, tire disposal, parts, oil, waste oil, oil filter pickup, fuel, fluids and compares prices, and vendor repair appointments. Call for departments to have vehicles serviced at scheduled times.

  • Responsible for handling and scheduling vehicle recalls with dealerships.

  • Data entry for TMA, Excel, Word, and FuelMaster programs. Records fuel sales if system is down. Enters fuel sales and records data into TMA. Open and close work orders in TMA. Assists in processing and tracking work orders and billing sheets.

  • Identifying vehicles and carts to help with ordering parts and show vendors which to pick up.

  • Performs basic clerical duties such as typing memo’s and correspondence, filing, photocopying, turning in invoices, and running errands, including occasional pick up of parts or vehicles off campus. Answers telephone, takes messages, routes calls to appropriate staff members. Answers questions in accordance with office policies and procedures, and transmits instructions or information to faculty, staff, and students. Processes incoming and outgoing mail.

  • Proofreads documents such as discipline letters, outgoing correspondence and publicity flyers, internal memos, program reports, and special assignments.

  • Performs other duties as assigned.

Minimum Qualifications

High school diploma or GED or six months of related experience and/or training; or equivalent combination of education and experience. Valid MS drivers license.

Knowledge, Skills & Abilities

  • Knowledge of office procedures including inventory control principles and methods, safety requirements, as well as spelling, grammar, punctuation, and arithmetic.

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files, and records, stenography and transcription, designing forms, and other office procedures and terminology.

  • Skill in the operation of office equipment including, but not limited to, multiline telephone, multi-function printer and computer.

  • Skill in giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.

  • Skill in communicating effectively verbally and in writing as appropriate for the needs of the audience.

  • Ability to stick fuel and read measuring stick to convert to how much fuel is left inunderground tanks.

  • Ability to install, replace, and order university decals

  • Ability to handle difficult and stressful situations including emergency situations with professional composure.

  • Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.

  • Ability to work successfully as a member of a team and independently with moderate supervision.
