Job Summary:

Assists the Director of Campus Recreation by overseeing the daily operation and management of the Division as well as coordination of the administration of special events and programs. Maintains Campus Recreation accounting functions to include deposits, reconciliations, initiating and tracking invoices and internal business forms, and preparing departmental tax and expense reports.

Primary Job Duties and Responsibilities:

  • Reviews incoming correspondence and coordinates with the Director of Campus Recreation regarding deadlines, projects, tasks and budget matters. Schedules meetings as needed. Composes correspondence. Follows up on time lines for task oriented projects of Campus Recreation.

  • Performs general office duties such as composing letters, typing correspondence, scheduling meetings, and, if necessary, assists with answering telephones. Attends staff meetings as assigned.

  • Manages all department and special accounts budgets. Initiates purchase requisitions, prepares purchase orders, generates payments and maintains accounts payable records, and prepares University travel documents. Reconciles and generates monthly and annual reports.

  • Assists the director with and often times conducts the development and implementation of programs and special events to include pre-event contacts regarding the organization, implementation and promotion of event with organizers and sponsors, purchase of supplies, advertising, payment of workers, payment of invoices, preparation of income and expense reports, etc. Also includes on-site work during events such as set, ticket sales, break down, etc. Responsible for coordinating two of the largest and most significant entrepreneurial events that supports scholarship programs and student and staff development one for Campus Recreation and one for the Division of Student Affairs.

  • Serves as professional staff (rotating afternoons and weekends) on duty for overall management and supervision of all staff, programs, and recreational sports facilities to include opening and closing facility and handling customer-related situations and emergencies.

  • Assists the director in the normal operations of the department. Schedules meetings for the director. Schedules and attends Campus Recreation weekly meetings. Schedules and attends meetings as directed by the director. Performs other duties as assigned.

Minimum Qualifications:

Bachelor’s degree from a four-year college or university and two years related experience including but not limited to Bookkeeping, organizing events, working in a fast paced office setting, etc… Valid Driver’s License

Preferred Qualifications:

Master’s degree from a four-year college or university and four years related experience and or training. CPRO/First Aid certification

Knowledge, Skills, and Abilities (KSA):

  • Knowledge of Microsoft Office

  • Knowledge of accounting, budgetary, and management principles, practices, and procedures

  • Skill in creating spreadsheets

  • Have the ability to learn other computer systems

  • Have the ability to manage multiple projects
