This role will be responsible for the oversight of the integration of new providers while focusing on improving efficiency in the integration process in an effort to improve patient, physician and employee satisfaction. This position is tasked with establishing and maintaining standard implementation processes in all regions for practices affiliated with Hackensack Meridian Health Medical Group (HMHMG) by coordinating the efforts of provider enrollment, HR, Clinical Applications,, practice operations and integration with hospital leaders and appropriate departments. The Physician Onboarding Manager will provide subject matter expertise and play the lead role in the integration of providers to Hackensack Meridian Health. This position is responsible for aiding in the establishment of a working relationship between hospital administrative Teams, HMHMG Practice Operations and Physicians who are newly hired, in practices recently acquired or in new practice facilities. The primary focus is to provide project management oversight to the transition of a physician/practice into or out of HMHMG. The Physician Onboarding Manager is also responsible for integration into the service area community to raise awareness of new services and new specialists, as well as offboarding of physicians. This role will support all aspects of onboarding from 90 days prior to start date and onwards through 120 post start date.

Responsibilities

A day in the life of a Manager, Provider Onboarding at Hackensack Meridian Health includes:

  • Serve as an expert on onboarding policies and procedures for assigned new physicians. Works with appropriate administrative and functional leaders to orient new providers and coordinate appropriate training. Effectively communicate across all involved parties within the onboarding process, including but not limited to Senior Leadership, Recruitment, Contracting, Revenue Cycle, Business Development, Human Resources, Medical Staff, Operations, and Marketing to ensure a streamlined onboarding process for Physicians and Advanced Practice Providers (APPs).

  • Serve as an advocate and onboarding liaison for the assigned newly recruited physicians to the onboarding

  • Collaborates with key internal stakeholders responsible for specific onboarding functions i.e. recruitment, credentialing, practice management, marketing and physician leadership to ensure onboarding tasks are completed. Provide timely and accurate updates for new providers in the pipeline.

  • Develop and maintain strong working knowledge of all databases including but not limited to Marketware, iCIMS, Peoplesoft/Oracle, Credential Stream, or any new system that HMHMGmay engage with for onboarding.

  • Manages integration process of all new physicians joining the medical staff, including providing all new providers with Welcome Kit, all appropriate steps are taken to complete office set-up, credentialing, payer enrollment, marketing, integration into community, orientation and employment. Develops tracking process and progress reports to ensure that all milestones and target dates are met. Continually analyzes integration process for improvements and implements appropriate changes as needed

  • Assign a peer partner to new providers joining HMHMG and maintain 30/60/90day check-ins with new providers to assess on-boarding completeness.

  • Develop and maintains relationships with resources to assist and support the integration of new physician recruits¿ households into the community. Schedule and follow-up on all necessary steps within the onboarding process in collaboration with the MSO, HMHMG Contracting team, and HMHMG Practice operations.

  • Support Operations and Business Development Teams to ensure a smooth onboarding process for new providers joining current employed or leased practices

  • Ensure that all new Physicians and APPs thoroughly understand the onboarding process as well as our expectations about when information and applications must be delivered to secure the outlined start date.

  • Collaborate with Marketing to design and purchase relevant branded materials (i.e. postcards and giveaways) to share with new Physicians and APPs to cultivate their connection to HMH. Ensure information is accurate and complete on HMHs Find a Doc Site.

  • Creates templates for communication, orientation, introductions, initial provider schedules and others as needed to ensure that onboarding is executed consistently and satisfactorily

  • Develop and implements a process and survey to follow-up with new physicians, after they accept positions and throughout the first 12 months of integration to identify recruitment issues and concerns

  • Develop solid understanding of the operational details related to the onboarding process to effectively identify process improvement opportunities and potential issues and understand the contract in as much as it affects their onboarding process

  • Document onboarding process metrics through consistent date entry into the reporting System

  • Prepare onboarding process metrics and other reports and according to defined Requirements

  • Leads meetings and conference calls with the internal team to identify potential process risks as early as possible

  • Identifies onboarding process improvement opportunities based on learnings from others, new physician feedback, results reporting and internal stakeholder ideas and suggestions

  • Other duties and/or projects as assigned.

  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • BA or BS Degree in marketing, business, management or other relevant field

  • Minimum 5 years relevant experience in physician recruitment, physician relations or physician practice management

  • Excellent written and verbal communication skills.

  • Proficient computer skills that may include but are not limited to Microsoft Office and/or Google Suite platforms.

Education, Knowledge, Skills and Abilities Preferred:

  • Experience servicing customers from diverse organizational levels

  • Comfortable with an environment that is growing/changing

  • Proven ability to multi-task, problem-solve and work as part of a team

  • Ability to travel regularly within local region
