FirstService Residential Assistant Community Appearance Coordinator in Hardeeville, South Carolina

Turn on your Island Charm... Latitude Margaritaville Hilton Head is currently looking for an Assistant Community Appearance Coordinator to join our team!

Purpose:

The Latitude Assistant Community Appearance Coordinator collaborates with and reports to the Community Appearance Coordinator by assisting with homeowner work order reporting, builders warranty department communication and landscaping installer turnovers. This position will assist with ensuring that all homes and common area landscape tracts are maintained to exceptional standards for the Homeowners Association.

This role also provides a single point of contact for compliance matters within the community and to enhance communication and completion of compliance tasks by working directly with the Association Team. The Assistant Community Appearance Coordinator will work closely with the Community Association Manager and Board appointed Compliance Committee members to ensure compliance with the use restrictions included in the Homeowner Associations governing documents, guidelines, local/state laws and Florida Statues are adhered to.

Key Responsibilities and Accountabilities:

Community Landscaping and Compliance Management:

  • Assist with scheduling lot turnovers on a weekly basis, coordinate schedule with construction managers and landscape and irrigation maintenance partners.
  • Prepare a turnover inspection report for each new home closing and common area turnover, upload all reports digitally to management company database.
  • Create and assign work orders following turnover inspections, ensure timely completion of work and close out work orders when complete.
  • Working closely with the Community Appearance Coordinator to ensure daily, weekly and monthly property inspections are performed.
  • Assist Community Appearance Coordinator to meet with homeowners in person to address compliance concerns.

Administrative:

  • Prepare weekly and monthly work order reports in a timely manner. Complete inspections and review community action list with Manager monthly.
  • Exceed expectations in responding to resident communications and ensure responses comply with Latitude Margaritaville brand requirements.
  • Oversee the work order process, assign work orders to appropriate department, respond promptly to homeowner generated landscape work orders, determine who is responsible for replacement/repair and manage project through completion ensuring the timely completion of work and maintaining clear lines of communication with homeowners.
  • Managing the violation process by inputting into connect and preparing notices in accordance with the community governing documents and with Florida Statue 720.

Use Restriction Compliance:

  • Become familiar with community governing documents, in particular homeowner use restrictions.
  • Inspect homes for use restriction violations and use a mobile application to process violation notices.
  • Follow up systematically on open violations to ensure compliance.
  • In collaboration with the Community Association Manager, respond to homeowner violation concerns.
  • Prepare Agenda and Facilitate monthly Hearing Committee Meetings

Perform any other tasks as may be assigned by Community Appearance Coordinator and the Community Association Manager.

Technical competencies:

Education/Training:

  • High School Diploma
  • Landscape/Irrigation Knowledge – Minimum 2 years

Experience/Knowledge/Abilities:

  • Knowledge and ability to apply Florida Statutes and Community’s documents.
  • Working knowledge of landscape and irrigation concepts.
  • Working knowledge of Central Florida landscape plants
  • Ability to extrapolate data from contract and policy documents
  • Microsoft office knowledge and ability to create and edit documents
  • Ability to provide management reports to Association Manager
  • Strong working knowledge of customer service principles and practices
  • Ability to prioritize work with minimum supervision
  • Self-starter with excellent communication, interpersonal and customer service skills

Computer Literacy:

  • Must be tech and web savvy and able to navigate back-office software programs and database reporting
  • Intermediated proficiency in Microsoft Windows software

Special Requirements:

  • Physical demands include ability to lift up to 50 lbs.
  • Standing, sitting, walking and occasional climbing
  • Required to work at a personal computer for extended periods of time
  • Talking on the phone for extended periods of time
  • Ability to detect auditory and/or visual emergency alarms
  • Ability to work extended/flexible hours, weekend, and attend events as required
  • Ability to work outside for long periods of time

Compensation/Work Schedule:

  • $19.00 - $20.00 per hour
  • Full-Time (40 hours)
  • Monday - Friday, 8:00am - 4:00pm
