VF Corporation Leave Administration Specialist in Greensboro, North Carolina

Leave Administration Specialist reports to Senior Benefits Manager and is responsible for maintaining accurate associate records in VF’s HCM system (currently Workday), which includes transaction processing for Short Term Disability (STD), Long Term Disability (LTD), Family Medical Leave (FML), non-FMLA, Canadian leaves and state leaves. The position will also hold a key role in reviewing claims, performing audits to ensure accurate processing, and researching and identifying solutions when required. The specialist will respond promptly, thoughtfully and effectively to changing work environments, changing priorities and new situations and will possess the skills and ability to communicate effectively and appropriately with associates, internal resources and third parties. The role regularly works with information that requires a high level of discretion and confidentiality. Incumbents are knowledgeable in areas of Leave Administration, think for themselves, have a sense of urgency and work with some supervision.

Additional Responsibilities:

  • Process Short Term Disability, Long Term Disability, Family Medical Leave, and Accommodation claims in Workday, for all USA associates, accurately and timely based on approvals/denials from third party vendor.

  • Communicate claim/leave initiations, approvals and updates with the associates, managers, and Employee Relations/Human Resources in an accurate and timely manner.

  • Partner with Employee Relations/Human Resources on non-FMLA leave options for denied or ineligible associates

  • Manage Canadian leave process which includes Workday input, communications and completion of vendor forms as needed.

  • Monitor disability vendor actions to ensure adherence to VF plan standards and service agreement.

  • Responsible for documenting detailed claim information for tracking and audit purposes.

  • Coordinate federal, state and VF disability plans to meet compliance standards required to meet compliance standards for state family and medical leave laws.

  • Remain current with state disability and family leave plan enactments and changes

  • Complete state and vendor requests for employment and wage information

  • Perform calculations for state disability offsets

  • Responsive to emails from associates, internal partners, and vendors within 2 business days or within 24 hours for escalations.

  • Partner with Payroll and associates on processing of retro disability and reimbursement of overpayments.

  • Partner with Risk Management for the processing of STD claims in conjunction with Worker’s Compensation

  • Provide Short Term Disability, Long Term Disability, Family Medical Leave and state leave training as needed for internal resources

  • Assist with daily tasks including researching and responding to People Service Center (PSC) tasks in My HR Service Center that are assigned to the Total Rewards team

  • Process waiver of premium and termination of benefits for leaves greater than 12 months to remain in compliance with VF plan requirements Support teammates during times of high volume or during team absences to maintain seamless processing of claims/leaves

  • Provide feedback on processes and communications to enhance experience for associates and internal partners

  • Work with Management and Benefits - Center of Expertise (COE) to assist on specific projects and leave program implementations or changes

  • Perform special projects as needed to support disability process

Experience:

  • Undergraduate degree in human resources, business, or related discipline required or equivalent experience in leave management

  • 3 to 5 years of experience in a related role or discipline

  • Strong analytical, problem solving, and documentation skills

  • Solid interpersonal skills and customer service orientation

  • Familiarity with Workday or other administrative system

Hiring Range :

$21.20 USD - $26.50 USD per hour

Incentive Potential : This position is eligible for additional compensation awards that may include an annual incentive plan, sales incentive, or commission potential. Specific details of the additional compensation eligibility for this position will be provided during the recruiting and interview process.
