STAFF ACCOUNTANT

Greenfield, MA

Stoneleigh-Burnham School, an independent boarding and day school for girls in grades 7-12 in Greenfield, Massachusetts, seeks a collaborative Staff Accountant effective January 2025.

Located near the Connecticut River in the Pioneer Valley, a short drive from the Five College Consortium (UMass Amherst, Smith, Mount Holyoke, Hampshire, and Amherst College), Stoneleigh-Burnham attracts students from the local area and around the world. Reporting to the Chief Financial Officer, the Staff Accountant manages all aspects of the payroll process, accounts receivable, and assists with Human Resources. The Staff Accountant is an integral member of the Business Office Team, and communicates daily and visible with families, and is engaged in the daily life of the school. They collaborate with the many departments throughout the school to ensure that all student billing and payroll is completed timely and accurately. The Staff Accountant will assume the following primary responsibilities:

Duties and Responsibilities:

Student Billing/ Accounts Receivables:

· Create new accounts for students, as necessary.

· Processing receipt of payments and entering receivables via checks, wires, cash, and credit cards into appropriate accounts.

· Print and mail monthly statements in a timely manner after creation and application of appropriate charges.

· Deposit of funds at bank; use remote deposit.

· Communicate with parents and outside agencies via telephone or email.

· Follow-up with parents to collect payments and resolve disputes related to unpaid outstanding invoices.

· Annual close-out billing for fiscal year ending June 30; set up new billing year for July 1. This consists of reconciling student accounts to the general ledger in preparation for the audit, preparing any necessary journal entries that are needed, and preparing workpapers for the audit.

· Reconcile general ledger postings to accounts for current year or deferred income year status; enter all tuition related charges July 1 and send complete summer mailing packet to all new students.

Payroll/Human Resources:

· Process bi-weekly payroll; have working knowledge of automated payroll service; maintain payroll database system and personnel records; reconcile all personnel-related accounts; and track benefits. Edit annual payroll changes.

· Preparing and processing bi-weekly 403B contributions.

· Completing the annual 403B audit.

· File workers’ compensation claims as they occur and follow through as needed. Assisting with the annual worker’s compensation audit.

· Communicate with employees regarding benefits/enrollment, etc.; be familiar with Massachusetts state paid leave laws that apply to schools, be familiar with federal paid leave laws that apply to schools.

· Take input from new employees and process applicable forms.

· Perform exit interviews as needed.

· Archive fiscal year records and annual year-end payroll records and rotate; physically remove archived files to the basement in the Jesser Science Center.

· Reconcile and file TRP premiums within 30 days of the first day of school; reconcile and file ISM insurance premiums due the first day of school.

Development Processing:

· Process and deposit donations at the bank; use remote deposits. Record donations to Blackbaud, Raiser's Edge.

Other Duties:

· Reconcile transfers with the bookstore.

· Reconcile camp accounts with the Director of Auxiliary Programs.

· Assist the CFO with the yearly audits. This consists of reconciliations, journal entries, and preparation of work papers.

· If necessary, serve as a stand-in for the CFO in certain tasks when the CFO is not available.

· Assist with major events as needed.

· Other Duties as assigned.

Qualities and Qualifications:

  • Bachelor's degree in accounting or related field.

  • 1-3 years of accounting experience, preferably public accounting experience or school setting.

  • Strong knowledge of accounting principles and practices.

  • Strong computer skills and demonstrated proficiency with Google applications and databases.

  • Appreciation for the value of an all-girls’ education.

  • Ability to work well in a close community and as a part of a team.

  • Demonstrated commitment to diversity, equity, and inclusion.

  • Excellent communication skills, strong attention to detail, and be able to spot discrepancies.
