Job Description Summary Weld County Extension Office is seeking a full-time (40 hours per week) professional Administrative Assistant.

Work as a team with other Administrative Assistant staff to provide support for Weld County CSU Extension and the Weld County Fair programs and staff; performs complex duties; types documents, correspondence, and reports; website management; marketing and communications such as graphic design of flyers/materials and supporting social media, maintains electronic files; utilizes technical terminology and composition skills that require accuracy and completeness.

Work closely with the Weld County Fair Coordinator to accomplish tasks related to the County Fair, and with CSU Extension to support and coordinate administrative work related to educational programming.

Position is the primary contact for front desk and telephone customer service duties, and performs a variety of clerical duties requiring confidentiality and work as a member of the Weld County Extension Team.

Supervision Received: This position reports to the County Extension Director

and receives direction from the Weld County Fair Coordinator.

Job Description General Administrative Duties: Respond to public inquiries and concerns and respond to incoming calls and correspondence or refer them to program staff members when appropriate. Provide front desk coverage. greet walk-in clientele and provide customer service both internally and externally on behalf of the department; Provide overall administrative support and coordination for the Weld County Extension Office, including the Weld County Fair, its staff and program offerings. Schedule appointments, attend meetings and conferences, and gather related documentation for distribution at meetings as needed. Assist in the creation of and marketing and communications materials such as flyers and website design materials and monitor sites. Other duties as assigned. Weld County Fair Duties: Work closely with the Weld County Fair Coordinator to accomplish tasks related to the planning, organizing, and presentation of the Weld County Fair including: developing and distributing the Fair Office schedule, working at the Fair Office during County Fair, ordering supplies, coordinating camping reservations, drafting set-up and design for use of Fair buildings; organizing parade entries; inventorying and ordering Fair supplies (promotional materials, awards, banners and other items) working with Purchasing, coordinating camping maps and materials including the reservation system and collecting payments; submitting applications for parades and scheduling staff and volunteers. Provide materials and support to the Fair Coordinator in liaising with the County Fair Board, securing judges, superintendents, clerks and staffing for the Fair. Develop and contribute promotional, informational and instructional communications about the Fair including: Drafting vendor packets and communicating with new and prior vendors to advertise; website notices and social media content; newsletter contributions; sponsor letters and tracking. Schedule meetings, arrange catering, book rooms, arrange clean-up, enter data, and provide reports. Other duties as assigned. CSU Extension Duties: Provide administrative support and coordination of CSU Extension programming including customer service, registration, online forms, mailings, and compiling materials and supplies. Assist in creating educational and promotional materials for special events including set-up and occasional staffing support. Schedule meetings, arrange catering, book rooms, enter data, provide reports and coordinate program registration. Assist in maintaining the Extension website.

Required Qualifications Education: High School Diploma or GED or equivalent with course work in office and business practices as equired by the position. Required work experience: Four years experience in an increasingly responsible position in an office or customer service setting; OR equivalent combination of education and experience. Additional Required Skills, Abilities and Knowledge: Excellent organizational, verbal and written communication skills are required. Public interaction: Excellent people skills are required for this position. In addition, this position is a main contact for Extension questions on various subjects and directs questions on food and nutrition, livestock, youth, environment and agriculture, entomology and gardening. Written and Verbal Communication skills: Confidential correspondence/ communication with leaders, youth, various councils and committees as well as the general public. Phone Communication Skills: Answers complex questions and refers to others, as appropriate, to Extension Agents and program staff. Personal Computer skills: Advanced level skills are required in word processing, spreadsheet design, database and general computer skills. Decision Making/ Troubleshooting: Intermediate/ advanced level skills in troubleshooting required software, etc. Testing may be required for
