Job Description:

We are looking for a highly motivated and talented Service PM Contracts Administrator whose primary accountability is to ensure coordinating and administrating of preventative maintenance contracts that have been sold to customers. This includes ensuring the timely and accurate execution in setting up the contract, managing maintenance schedules and scope, and communicating with customers. The Service PM Contracts will work closely with sales, customers, dispatch, service technicians and group managers to ensure preventative maintenance contract activities are executed on time, within budget, and to the satisfaction of all stakeholders.

Responsibilities include but are not limited to the following:

  • Participate in developing scope and schedules for PM contracts quoted to customers

  • Coordinate PM contract kick off meetings with customer, group managers, and technicians

  • Establish contracts that have been sold to customers, including setting up individual equipment, scopes and tasks, schedules, billing, and technician assignments (primary, secondary)

  • Manage PM contract renewals, including equipment changes, contract pricing, scope and schedules

  • Manage customer rate sheets for customer with PM Contracts (new, renewed and terminated)

  • Ensure contract work orders are created based on planned schedules and manage changes

  • Coordinate with dispatch to determine specific dates to perform customer’s preventative maintenance

  • Create purchase orders for parts and initiate orders and delivery with suppliers

  • Communicate and escalate issues within target schedules and with performance of PM activities

  • Conduct quarterly meetings regarding contract performance between planned hours and actual hours

  • Develop proposed pricing changes for contract renewals based on performance and review with Director

  • Conduct contract reviews and identify areas for improvement for sales estimates.

  • Generate and send customer invoices for PM contracts to customers

  • Address customer concerns and questions related to PM contracts, PM invoices and maintenance

  • Manage primary and secondary technician assignments to PM contracts with group managers

  • Ensure compliance with company policies, procedures, and quality standards.

  • Support Service Quoted Projects Administrator, as needed.

    Qualifications:

  • 2-3 years of experience in contracts administration or coordination

  • Excellent organizational and communication skills

  • Strong attention to detail and ability to manage multiple tasks simultaneously.

  • Ability to work independently and as part of a team

  • Proficient with Excel and Financial Analysis skills

  • Familiarity with construction, service or mechanical industries a plus

    Working Conditions: The Service PM Contracts Administrator will primarily work in an office environment, with occasional visits to job sites or customer locations.
