Description of Job

The Colorado School of Mines is seeking an enthusiastic Human Resources and Recruiting Coordinator (HR Specialist I) who will be accountable for executing high quality recruiting and hiring for Mines Undergraduate Students to work on campus by providing direct customer service and support to students and hiring departments, along with support for the Volunteer and Nonremunerated appointment and onboarding process. The position works with departments to answer questions, post positions, assist with the position approval process, and administer and monitor the background check process as needed. In addition, the position will provide auxiliary administrative support to the HR team and will provide direct support to customers and stakeholders. This position reports to the Talent Acquisition Manager within Mines Human Resources and provides support to the Mines Human Resources team through project support and direct assistance to HR leadership and our other HR teams.

This is a hybrid position eligible to work both in person to support front desk operations and remotely, schedule to be determined upon hire.

Primary Duties (e.g., Program Management, Budgeting, Supervision)>> (90%)

  • Assist with full cycle recruiting and hiring process for campus to create an effective and efficient student experience.

  • Coordinate and ensure an effective student hiring approach across campus.

  • Coordinate and ensure effective and compliant appointment for volunteer and nonremunerated talent.

  • Ensure process maintains confidentiality of candidate information.

  • Provide quality assurance under guidance from leaders to ensure accuracy of financial aid and budgetary/fiscal requirements.

  • Communicate with campus hiring supervisors regarding process, system, and overall student experience to ensure consistency.

  • Follow processes and established procedures in Workday to administer the student hiring process.

  • Follow processes and established procedures in Onbase to complete the background check process for graduate students.

  • Administer the background check process through Workday, maintaining strict confidentiality.

  • Provide the highest level of customer service to campus, including making suggestions regarding posting approach, process, and hiring under direction.

  • Communicate with Department Managers, Financial Aid, and the Career Center, and MAPS to facilitate a quality hiring process for each student.

Other Duties as Assigned (10%)

  • Provide in-person support for Front Desk operations as needed (set schedule for in person work to be determined upon hire)

  • Other duties as assigned to meet the objectives goals of the program and/or Mines.

  • Provides professional level support to HR Team

  • Provides support for the Contingent Worker process, as needed.

MINIMUM QUALIFICATIONS:

Minimal Level of Education and Experience:

Four years of professional experience working in an operational or administrative support or clerical support role in a Human Resources or Payroll environment.

Appropriate education will substitute for the experience requirement on a year-for-year basis

OR

Education and Experience:

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to four (4) years

PREFERRED QUALIFICATIONS:

  • Prior experience at Mines preferred

  • Prior experience working in higher education or with K-12 recruiting setting

  • Prior State Service

  • Prior experience working with Applicant Tracking Systems

  • Previous Workday experience - highly preferred

  • Experience running Background Checks – highly preferred

Preferred Knowledge, Skills, and Abilities and Other Attributes (KSAOs):

  • Knowledge of FERPA, TIX and laws governing interactions with students

  • Knowledge of recruiting process and practices

  • Experience working with Students.

  • Excellent customer service skills, including escalations.

  • Proven track record of collaboration and team work.

    Appeal Rights:
