Program Planning Specialist, School of Professional Studies (SPS)

Job Title: Program Planning Specialist

Reports to: Director, School of Professional Studies (SPS)

Position Summary:

Reporting to the Assistant Dean of the School of Professional Studies (SPS), the Program Planning Specialist will manage key activities within SPS, including the monitoring of all community college 3+1 and 2+2 academic agreement processes, maintaining accurate records and reporting related to community college partnerships and SPS, and coordinating regularly with other on-campus units to share, gather, and verify academic information. S/he must have strong analytical, communication, technical, and problem-solving skills to manage agreements, reporting, systems, and processes.

Duties and Responsibilities:

  • Collaborate with entities across campus to establish a communication plan for outreach to community colleges within and beyond the immediate region to discuss avenues for potential academic pathways and articulation agreements.

  • Organize and execute all the community college 3+1 and 2+2 academic agreements' administrative and logistical processes, including agreement drafting, multi-tiered reviews and the collection of signatures.

  • Maintain all community college agreement-related documents, track agreements and agreement renewals, and conduct necessary audits and follow-ups to ensure all agreements are up to date. Ensure that all community college agreements meet university legal standards.

  • Coordinate with units on campus as part of the academic agreement processes to ensure operations and all community college agreement details are set up correctly.

  • Oversee processes for collecting and presenting data and maintaining accurate databases and reporting for agreements and academic programs within SPS.

  • Maintain lists and detailed databases regarding enrollment and other metrics for 3+1 and 2+2 agreements.

  • Use dashboards and other data sources to prepare reports, presentations, and other materials to promote community college partnership agreements and display/demonstrate enrollment information.

  • Leverage data and metrics to identify potential community college partners.

  • Maintaining and managing 3+1 and 2+2 community college agreement and program information to ensure program information is accurately displayed on all appropriate websites, including those for the community colleges.

  • Setting up logistics for working with potential partners (scheduling meetings, setting agendas, etc.)

  • Maintain workflows, processes, documentations, and technology platforms as part of streamlining administrative processes.

  • Perform other related duties as may be assigned.

Required Education: Bachelor's degree from an accredited college or university.

Required Qualifications:

  • Three (3) years of professional experience.

  • Experience drafting agreements and contracts with a strong attention to detail.

  • Knowledge of and experience with working with academic programs and/or student services.

  • Excellent technical writing and verbal communication skills, and the ability to prepare and present report findings.

  • Ability to compile and maintain data and electronic records.

  • Advanced technical skills in business systems including Microsoft Office (Outlook, Word, Excel, Power Point), Google Suite (Drive, Docs, Sheets, Slides, Forms), Zoom and Webex.

  • Ability to successfully prioritize, organize, and facilitate several projects and deadlines.

  • Ability to multitask and work in a fast-paced environment.

  • Strong orientation toward teamwork and ability to influence others; thrives in a collaborative work environment.

  • Experience working with people from diverse racial, ethnic, and socioeconomic backgrounds.

Preferred Qualifications:

  • Three years’ experience in higher education.

  • Experience working with adult and/or online students.

  • Experience using Canvas Learning Management System and Microsoft Teams.

  • Previous experience developing pathways to certificate and/or degree completion for nontraditional learners.
