Role Overview:
We are seeking a dynamic and independent thinker to join our team as an Office Manager/Project Manager. This role is pivotal as we expand our administrative and project management capabilities. The ideal candidate will be proactive, innovative, and adept at creating efficient processes. They will report directly to the CEO and will be integral in driving organizational growth and efficiency across our companies.
Key Responsibilities:
Process Development: Design and implement streamlined processes for various operational functions including filing systems, office workflows, and project management protocols.
Project Management: Oversee and manage key projects, ensuring timely completion and alignment with company goals. Collaborate with different departments to drive project success.
Administrative Management: Handle day-to-day administrative tasks to support the smooth operation of the office. This includes scheduling, correspondence, and maintaining office supplies.
Hiring and Team Building: Lead the recruitment process for positions such as a Bookkeeper, ensuring we attract and retain top talent. Develop onboarding processes and contribute to team development.
Communication: Serve as a central point of communication within the office, facilitating clear and effective information flow between the CEO, COO, and other team members.
Strategic Planning: Assist in long-term planning and strategy development to support company growth. Provide insights and recommendations to the CEO and COO.
Growth Initiatives: Identify and implement opportunities for process improvement and operational efficiencies across all owned companies.
Financial Oversight: Work closely with the finance team to monitor budgets, expenses, and financial planning.
Requirements
Qualifications:
Proven experience in an Office Manager or Project Manager role within a small to medium-sized firm.
Strong organizational skills with a track record of creating and implementing effective processes.
Excellent communication skills, both written and verbal.
Ability to work independently and think critically to solve problems.
Experience with hiring and team management.
Proficiency in office software and project management tools.
High level of attention to detail and accuracy.
Bachelor’s degree in Business Administration, Management, or related field preferred.
