JOB SUMMARY:
Provide clerical and administrative support for the department chair and faculty in the Undergraduate Psychology program and the Neuroscience program in the Derner School of Psychology. Will also be responsible for travel reimbursement for the entire School.
Title Position Reports To:Derner School of Psychology’s Associate Dean for Foundational Psychology & Faculty Involvement, Undergraduate Psychology and Neuroscience Director, Associate Dean for Professional Psychology & Student Advancement, and the Dean of the School of Psychology
SALARY INFORMATION:
In compliance with New York’s Pay Transparency Act, the salary for this union position is $42,508. Pre-employment assessment on Microsoft Word and/or Excel will be conducted.

DERNER SCHOOL OF PSYCHOLOGY (CROSS-PROGRAM RESPONSIBILTIES):
Make travel arrangements for faculty, graduate/undergraduate students, interviewees and university guests.
Prepare reimbursement for travels from Faculty and Students and process those.
UNDERGRADUATE DEPARTMENTS (PSYCHOLOGY AND NEUROSCIENCE):
Coordinate all internship-related issues with the internship instructor and the internship sites.
Coordinate Emerging Scholars Program with Faculty co-chairs, advisors, and graduate assistants. Send emails, set meetings and events, assist with application process, assist students with travel and conference needs, prepare reimbursement for students.
Welcome new students to the major/minor with emails and assign students to Psychology faculty advisers.
Work with the Director of the Neuroscience program to coordinate program needs.
Assist with arrangements for special events, such as conferences, seminars, guest lectures, fairs, community or fundraising events. Support responsibilities may involve reservation of rooms, travel arrangements, catering services, informing the relevant departments/units, preparation and dissemination of materials, etc. (e.g., Psychology Day, Psi Chi Colloquia, etc.).
Perform administrative assistant/support services related to faculty and staff searches.
Process purchase orders and supply orders; verify deliveries.
Provide other administrative support as needed (e.g., compose and respond to routine correspondence, address student concerns, etc.) .
REQUIREMENTS:
Proficiency in use of Google Suite (Email, Calendar, Drive, Forms, Sheets and Shared documents and drives) and Office suite (Word, Publisher, Excel and Mail-Merge functions).
Proficiency in the use of Zoom.
Ability to prioritize workload according to volume, urgency, etc.
Good organization skills and attention to detail.
Good interpersonal skills.
Ability to handle multiple tasks effectively and accurately.
Ability to be discrete and maintain high confidentiality on a wide range of issues.
Good verbal and writing skills.
Knowledge of University policies and procedures.
Ability to work with students and colleagues in a diverse environment.
PHYSICAL REQUIREMENTS:
Ability to sit at a desk for long periods of time.
Ability to work on a computer for long periods of time.
EDUCATIONAL/EXPERIENCE REQUIREMENTS:
High School diploma is required.
Bachelor’s degree is preferred.
Evidence of experience with secretarial/administrative skills.
