Job Description:
Highly skilled Academic Enterprise (AE) Recruitment Specialist for a fast-paced environment who will be an integral part of the team responsible for the successful recruitment and retention of Faculty, Physicians, Advanced Practice Providers (APPs), and executive positions including Chairs and Deans. The incumbent works in the Office of the Provost and supports efforts across the Academic Enterprise to manage the end-to-end recruitment process. Responsible for tracking recruitment and onboarding metric reviews for continual process improvement.
Job Duties :
Recruitment
Collaborates with AE departments, schools, and Faculty Relations to maintain the POWER candidate module by reflecting the appropriate documentation of positions open, interviews scheduled, conversation(s) had, offers made or not made, offers accepted or not accepted, reasons for offers declined, etc.
Works with Associate VP, Faculty Group Practice Operations, and departments to update and maintain Institutional Strategic Hire List.
Works with faculty recruiter(s) to process and track invoices and funds spent on recruitment resources including job postings, ad placements, placement fees, etc.
Analyzes effectiveness and cost of advertising and resources used and report by department
Manages and tracks external search firm contracts.
Assists the Search Committee with compliance questions and helps maintain process flow.
Creates and manages evaluation tools, including tabulating results for review.
Prepares handouts for potential candidates including information on local cities as well as general information on UTMB and related departments.
Escorts candidates during their interviews and visits.
Provides Galveston Campus tours.
Coordinates with Schools and Departments and obtains feedback from interviewers and candidates after the interviews.
Ability to execute search strategy and workflow in collaboration with the current team.
Onboarding
Participate in New Faculty Orientation, working with the Office of Faculty Affairs and Professional Development Provide continued assistance to new hires and families helping to acclimate to the UTMB community during their transition/relocation. o Contacting at 30 and 60 days for check-in o Follow-up at 90 days with a survey to help improve the onboarding process
Work closely with departments to resolve any concerns brought forward
Working with Faculty Relations and HR to produce annual retention reports
Adheres to internal controls and reporting structure.
Performs related duties as required.

Preferred Qualifications:
Bachelor’s degree in a related field
Five years related experience
