Indian Health Service Administrative Support Assistant (OA) in Gallup, New Mexico

Summary

This position is located in the office of the Division of Nursing Services at Gallup Indian Medical Center, Gallup, New Mexico. The purpose is to perform a variety of administrative tasks associated with maintaining and supporting the work performed within the organization. The incumbent reports to the Chief Nurse Executive.

Responsibilities

Receives, reviews and tracks all incoming mail, assigns priority to each item, and routes correspondence accordingly Performs office automation duties in preparing correspondence, forms, and reports which include technical material, graphs and charts. Enters information into established databases and similar systems which track various administrative activities. Maintains supervisor's activity calendar based on knowledge of plans and previous commitments, schedule appointments, and conferences. Makes travel arrangements and prepares documents relating to travel and training. Serves as point of contact for scheduling meetings for conference rooms. Develops and maintains all files of the office meeting minutes, policy and procedure manuals and performance evaluations. Work may include purchasing supplies and equipment utilizing prescribed purchasing guidelines and procedures; tracking expenditures, establish and maintaining filing systems, timekeeping functions and prepare and process documents associated with the travel of staff Answers the telephone, receives visitors, takes and gives messages, directs individual or transfers call to proper person or office. Applies proficiency in the use of word processing, typing, personal computers, printers and office equipment. Performs other duties as assigned.

Qualifications

To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. BASIC REQUIREMENT(S):

GS-06 Grade Level: Candidates must have one (1) year of specialized experience equivalent to the GS-05 grade level. In addition to the Basic Requirements, you must also meet the Minimum Qualifications stated below. MINIMUM QUALIFICATIONS:

GS-06 Grade Level: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Performing a full range of administrative duties, operating office automation equipment and software. Experience in creating and managing: databases, spreadsheets, graphics work processing documents; communicating effectively and interacting with a wide variety of individuals within and outside the organization, and receives and answers routine telephone inquires. Preparing and processing a variety of documents associated with travel and timekeeping. Typing Proficiency Requirement: Applicant must be able to type a minimum of 40 words per minute. A copy of your typing proficiency certification must be submitted with your application. Proficiency test results and certificates are acceptable for 3 years from the date of results. Self-Certification will not be accepted. TYPING PROFICIENCY CERTIFICATE MUST BE SUBMITTED. Time In Grade

Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. IHS may offer newly-appointed Federal employees credit for their directly related previous non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave is earned. This position is covered by a Bargaining Unit.
