Job Description:
Oversee the front desk operations for the Reitz Union Hotel
Hire, train, schedule, and supervise student staff for the hotel
Ensure comprehensive guest service and experience including but not limited to processing of advanced reservations for individuals and groups; check-in of guests; guest check-out and collection of payments; night audit functions; guest services including but not limited to wake-up calls, telephone switchboard services, telephone messaging, and safe deposit box service; handling and resolution of guest concerns; and gathering of customer comments and feedback regarding customer satisfaction
Perform guest services desk and/or night audit functions in the event of a staff shortage
Perform inspections of all hotel areas on a regular basis; ensure high quality standards for cleanliness and maintenance; coordinate with Housekeeping and Maintenance Services as needed for services
Ensure guest room security through appropriate controls and audit of key card system
Responsible for developing and maintaining inventory control procedures
Maintain inventory of operating supplies and equipment, and assist with contracting with third-party vendors for essential equipment and services
Assist with developing and updating training materials and training sessions
Conduct appropriate redirection and retraining of student staff as directed
Assist hotel housekeeping team with turn-over of guest rooms or other hotel housekeeping related tasks as needed
Responsible for business, marketing and promotions functions to individuals, university departments, and external clients
Review daily audit reports to ensure accuracy and sound fiscal management of the hotel
Prepare financial reports as necessary to ensure appropriate record keeping of occupancy, expenses, and income, and other financial related functions
Ensure proper handling and security of cash and credit card information
Assist with planning and implementing strategies to market hotel to the campus community and university affiliated clients, maintain relationships and collaborate with specific university departments and others to identify and respond to specific lodging and related needs
Responsible for gathering, compiling, and analyzing input and feedback from users; implement changes where needed and make recommendations to supervisor regarding major changes needed
Collaborate with Reitz Union marketing team to ensure appropriate integration and coordination with the overall Student Life branding strategy and guidelines
Responsible for administrative functions for the Hotel
Assist with developing and implementing an overall business and retail strategy
Assist with analysis of products and services offered, rates, and occupancy levels on a regular basis to assist with overall business and retail strategy
Assist with building management in an emergency by assuring evacuation of areas of the building; monitor the life safety alarm system annunciation panel at Hotel Guest Services Desk and serve as central communications point in the event of an emergency; ensure coordination of evacuation of hotel guest rooms in event of an emergency
Responsible for writing, editing and maintaining area procedure manuals
Interpret and ensure compliance with appropriate university policies and guidelines, including safety regulations and procedures, including general safety, fire safety, and evacuation procedures.
Ensure compliance with safety standards, OSHA, ADA and other relevant regulations at all times
Develop reports, handle special projects and other duties as assigned

Expected Salary:
$21.84 to 23.28/HR
Minimum Requirements:
Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.
Preferred Qualifications:
Bachelor’s degree in business administration, event management, hospitality management, or equivalent
Experience with conference service operations, event management, or hospitality management
Event planning, logistics, and on-site event management
Knowledge of UF campus facilities, space reservation policies, and procedures
Proficiency with computers and basic software applications
Planning and organizational skills
Communication skills (verbal and written)
Customer service skills
Interpersonal skills
Experience with Hotel Reservations Management system
Ability to handle high volume of detail work with accuracy
Handle multiple projects or tasks simultaneously

Normal Work Schedule:
09:00 AM to 06:00 PM, Monday through Friday
Flexibility to adjust schedule is required; including evenings and weekends depending on the demands of the position and/or department needs
JWRU building is open 7 days per week and most holidays; employees may be required to work weekends and holidays as needed.
