Job Description:

The Data Management Analyst III in the Office of the University Registrar is pivotal in overseeing major data projects, formulating strategies for effective institutional data management, and conducting data analysis. This position also involves supervising a dedicated data team, ensuring the successful execution of projects. The incumbent will research, analyze, and make recommendations to enhance institutional data management, reporting, data quality, data visualization, and staff leadership. They will also contribute to developing and implementing measurement systems to drive data-driven decision-making.

Responsibilities include the following:

Data Analysis, Reporting, and Quality Assurance:

In this pivotal aspect, the role demands a keen eye for insights hidden within institutional data. It involves coding and analyzing data using statistical methods and tools to decode it and generate actionable recommendations. Collaboration with stakeholders is critical to aligning the analysis with data requirements and objectives. Generating reports and dashboards that offer actionable insights for decision-makers is a crucial responsibility. This involves presenting data findings clearly and understandably and collaborating with stakeholders to identify reporting requirements. Quality control measures are implemented to ensure data accuracy and integrity and maintain data quality standards and protocols. The role also involves resolving data discrepancies and errors as they arise.

Data Project Coordination:

This segment involves being at the helm of significant data projects. Responsibilities include crafting assessment instruments, instituting quality control mechanisms, ensuring the timely execution of projects, and overseeing the entire data collection and management process. The role also entails coordinating major projects within the Office of the University Registrar, researching complex student records and registration issues, and implementing solutions. Furthermore, it requires cross-training to provide support to supervisors throughout the office.

Student Information System Development:

This area involves coordinating the development of the student information system. It includes project tracking and analysis, maintaining tables that govern the student record system, programming and reviewing data, and creating reports to simplify data comprehension. Maintaining data quality standards, ensuring data integrity, and utilizing data visualization tools to represent data engagingly are all part of the job. Tailoring visual data representations for various audiences is another crucial aspect.

IT Collaboration and Data Infrastructure Development:

The role also extends to collaborating with IT staff to enhance data infrastructure. This encompasses optimizing data systems for efficient storage and retrieval, contributing to technological integration and improvements, researching strategies for emerging data needs, identifying opportunities for data management enhancements, and staying updated on industry best practices and trends.

Interface with Campus Community:

A pivotal function is serving as a bridge between the Office of the University Registrar and the campus community for student information system assessment and enhancement requests. This includes coordinating Registrar function changes within the student information system infrastructure, liaising between functional users and the UF Information Technology development team, providing data expertise to faculty and staff, and offering technical support to functional users.

Institutional Research and Statistical Requests:

This aspect involves coordinating university-wide institutional research and statistical requests. The role includes supporting institutional research and data collection for mandatory university, state, and federal reports. Complex data analyses are carried out to provide statistical records for the Division of Enrollment Management. The role also extends to coordinating research designs, protocols, and administrative procedures based on statistical analyses, offering expertise, support, and coordination for updating websites and publishing data used by university administrators.

Leadership:

In this part of the role, leadership, guidance, and training are provided to data management staff, student employees, and interns. Fostering professional growth and development within the team is a priority, ensuring a collaborative and productive working environment. Responsibilities include assisting in student information system training materials, working with subject matter experts to develop and update process documentation, and collaborating closely with internal and external staff to understand training needs and implement relevant training programs. Other duties as assigned.

Expected Salary:

$90,000 annually; commensurate with education and experience

Minimum Requirements:

Master’s degree in an appropriate area and two years of relevant experience; or a bachelor’s degree in an appropriate area and four years of relevant experience.

Preferred Qualifications:

  • Knowledge of and experience with the academic process.

  • Familiarity with the PeopleSoft student information system.

  • Familiarity with comma-separated files, data formatting, and Microsoft tools.

  • Exceptional attention to detail, analytical, and communication skills.

  • Familiarity with relational databases within the Higher Education industry including PeopleSoft.

  • Familiarity with Excel, Access, Word, PowerPoint, Cognos, Salesforce, Qualtrics, and other report-writing software.

  • Ability to establish and maintain professional and effective working relations with others.

  • Familiarity with data visualization tools (e.g., Tableau, Power BI).
