Job Description:

Join the Office of Medical Education in the College of Medicine as anAcademic Program Specialist I. In this role, you will serve as the Academic Coordinator for the Clinical Practice course, Introduction to Clinical Medicine, and Collaborative Learning Groups, supporting first- and second-year students and working closely with faculty to meet their instructional needs. This position involves planning and managing course operations, handling data management, and coordinating with both internal and external stakeholders. Ideal candidates will have strong organizational skills, problem-solving abilities, and adaptability, making it a great fit for former teachers or those with a talent for managing complex processes in a professional environment. About This Role

Course Management

  • Manages Introduction to Clinical Medicine (ICM) and Introduction to Clinical Practice (ICP) courses, throughout phase 1 curriculum.

  • Develops and maintains Canvas course pages.

  • Secures dates and prepares effectively for the student-preceptorship lotteries.

  • Creates and edits student letters, recruitment letters and syllabi.

  • Works with the staff of the Anaclerio Learning and Assessment Center to schedule learning activities

and performance-based assessments.

  • Provides high level support for course directors.

    Student Services

  • Advises and guides students based on information provided.

  • Coordinates didactic, small group and experiential activities.

  • Manages student assignments.

  • Communicates and follows-up with students.

  • Maintains student records and files.

    Program Oversight

  • Creates and maintains processes for effective data collection, management and dissemination.

  • Creates and extracts evaluations and patient logs from system(s).

  • Documents and enters grades in a timely manner.

  • Prepares the teaching effort as required by the state, university, and Office of Educational Affairs.

  • Collects and securely disseminates FERPA and HIPAA data as required by law.

  • Tracks active preceptors/preceptorship sites.

  • Identifies and documents problems and provides a variety of alternatives specific to the preceptorships.

    Collaborative Learning Groups (CLG) Support

  • Provides support for the Director of the Collaborative Learning Groups. Creates small group rosters for the entering first year students that are demographically balanced.

  • Supports faculty facilitators by reserving rooms, materials, and collecting and uploading students’ assignments.

    Coordination of Stakeholders

  • Collects and organizes preceptorship documentation for appointments.

  • Collaborates with COM-HR and administration to submit preceptors’ documents in a timely and organized manner.

  • Tracks preceptor-student matches and data to assist with annual/5-year reappointments and termination.

  • Communicates with AHEC and disseminates expectations regarding the ATTAC-IT program.

  • Arranges housing with AHEC and Jacksonville.

  • Develops and maintains program websites.

  • Oversees the recruitment, retention and recognition of preceptors/preceptorship sites.

  • Communicates effectively with faculty, staff, students and community-based practices.

  • Assists in creating, answering questions and tracking of affiliation agreements.

  • Communicates effectively with internal and external stakeholders (i.e., course/clerkship directors, course/clerkship managers, simulation center, patients, students, community leaders and community outreach organizations).

Expected Salary:

$46,000 - $50,000

Minimum Requirements:

Bachelor's degree and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

The ideal candidate will possess:

  • Demonstrated experience in developing and managing complex annual schedules, ensuring key deadlines and milestones are met. Strong focus on planning ahead while remaining adaptable to shifting priorities and changing demands.

  • Ability to manage multiple projects/tasks simultaneously, prioritize effectively, and meet deadlines independently.

  • Previous experience managing course or program operations in an academic setting, with proficiency in learning management systems (e.g., Canvas).

  • Strong written and verbal communication skills, with experience working collaboratively with a diverse range of stakeholders, including faculty, staff, students, and community partners.

  • Advanced knowledge of Microsoft Office Suite (especially Excel, including pivot tables and lookup functions) and Adobe Acrobat Professional.

  • Proficiency in collecting, organizing, and analyzing data to create comprehensive reports.

  • Familiarity with tools like Qualtrics for survey administration and IBM SPSS for basic descriptive statistics and report generation is a plus.

  • Knowledge or background in medical or healthcare education settings, including clinical practice courses and experiential learning programs, is highly desirable but not required.

  • Master's degree in education or a related field.
