iCIMS LMS and Training Administrator in Gachibowli, Hyderabad, India

Job Overview

As a critical member of the Customer Training team, this position will often be the first level of contact for customers looking to engage with our interactive and multi-modal learning content. As such, the expectation is that the Admin will work closely with other members of the team to work through a thoughtful, holistic process to assessing, prioritizing, and evaluating customer queries and requests. In addition, it will be a primary responsibility of the Admin to ensure that all customers are promptly and smoothly enrolled in any and all customer training programs that they are entitled to. It is vital that the Admin ensure that all effort is expended to provide the best possible outcome to all of our customers regarding any enrollments, questions, issues, or requests that they might have.

Responsibilities

LMS Management

  • Oversee implementation of the selected Learning Management System (LMS) and manage day-to-day operations and support of the LMS.

  • Able to perform LMS administrator duties around assisting instructional designers in uploading the eLearning content that they create.

  • Supports and consults with the partner team regarding the partner-facing LMS.

  • Answer questions and trouble shoot issues for the LMS system in a timely manner.

  • Own the relationship between learning technology vendors and the training team, including training key stakeholders on LMS functionality.

  • Creates and maintains visual look and feel of LMS, including building out branding and page structure, and provides guidance around this to the rest of the customer training team.

  • Leads the creation, documentation, and training of LMS standards, policies, and procedures; maintain data integrity rules and processes

  • Monitors system usage and generates reports for assessment and data-driven decision making. Help drive those data-driven insights by identifying opportunities to leverage key LMS engagement data to improve the business in whatever ways possible.

  • Lead LMS system upgrades and system changes and related technical requirements to ensure customer consistently have a high-quality experience.

  • Work with internal stakeholders to ensure that access to the LMS is technically maintained for all iCIMS customers via external portals.

Training Program Management

  • Monitors training inbox and promptly addresses all customer queries by following an established escalation process tree.

  • Engages with internal stakeholders (sales, tech support, etc.) to effectively answer questions or escalate larger issues and opportunities.

  • Acts as a point person to help engage and enroll customers into ILT/VILT learning courses.

  • Maintains and sends out any necessary automated or manual email or other communication related to customer training learning programs.

  • Works with training specialists to create rolling ILT/VILT schedules and manages any necessary changes/shifts to that schedule.

  • Works with larger training team to manage and monitor revenue-generating SKUs that are integrated into learning programs.

  • Works with the larger training team to help build and improve larger customer training yearly goals and strategies.

  • Assist with special projects as needed.

  • Ensures back-up resources are fully trained and available whenever out of office.

Qualifications

  • 3+ years of relevant work experience required in a learning and development atmosphere.

  • 2+ years of relevant experience working with an LMS in an administrator capacity.

  • Familiarity with user roles and permissions, problems, implementation, maintenance of courses, and troubleshooting user problems in learning management systems.

  • Familiarity with designing and building basic user interface pages within an LMS.

  • Understanding of how to apply company branding standards to external learning resources.

  • Demonstrated experience with setting up feeds, API’s and integrations with Learning Technology.

  • Broad knowledge of Web-based e-learning and other new media applications.

  • Understanding of larger learning curriculums that combine a variety of different content types and modalities.

  • Ability to create and maintain weekly, monthly, and yearly ongoing schedules for instructor-led sessions.

  • Experience using a variety of VILT learning technologies (Zoom, Webex, etc.)

  • Exceptional reading comprehension and ability to write and edit materials in English.

  • Excellent communication and interpersonal skills: and can quickly articulate professional and informative responses (technical and non-technical) clearly, concisely, and persuasively to both internal and external audiences

  • Comfort with engaging in-person with external audiences as needed

  • Demonstrates a sense of urgency and takes initiative

  • Strong analytical and problem-solving skills.

  • Strong oral, written, interpersonal, and organizational skills

  • Strong critical thinking skills and the willingness to work independently and as part of a collaborative team.

  • Ability to plan, undertake and finish activities to achieve high quality results within set deadlines.

  • Expert proficiency with Microsoft Office (Teams, Outlook, PowerPoint, Excel, Word)

Preferred

  • Expertise in instructional design to provide feedback and advice to instructional designers at every stage of course development

  • Experience using technologies such as Articulate, Camtasia, Adobe, and other common eLearning tools.

  • Experience using AI or other tools to automate responses to common questions and issues

  • Bachelor’s degree in Information Technology/Systems, Instructional Technology, or related field

  • Project Management Certification
